Operations Assistant (Administration - Operations Department)

Role
The Operations Assistant is responsible for handling the delivery and pick-up of all in-bound and out-bound mail, packages, UPS and FedEx deliveries, couriers, etc.
at all Boston Public Health Commission sites. The Operations Assistant will be responsible for fueling vehicles, replenishing vehicle fluids, transporting vehicles to be cleaned.
This position may be assigned to work predominantly in fleet or mailroom.
Duties
- Organize the storage space and surplus as well as moving and arranging equipment and staff office furniture.
- Perform general routine inspections of vehicles and assisting with the scheduling of loaner vehicles.
- Assist with the BPHC-wide events, including the transporting, setting up and breakdown, and operating of audio visual equipment;
providing back-up for generating staff identification badges.
- Assist with transporting other BPHC vehicles for repairs, during inclement weather, etc. and provide general emergency roadside assistance, where necessary.
- Provide back-up reception coverage and associated administrative duties when receptionists are out of the office.
- Operate up to a 15-passenger vehicle to transport equipment or staff to off-site locations for various work related events.
- Provide support for the day-to-day office operations and central service task such as providing general maintenance services.
- Provide assistance with the sorting, metering, delivery and pick-up of all mail for the Boston Public Health Commission sites.
- Backup for Fleet as needed to inventory fuel FOB's, car keys, and Fast-Lane vehicle transponders.
- Data entry, record keeping and filing of Fleet information.
- Assist with inventory records management, mailroom supply orders, surplus collection and distribution, and courier vendor accounts.
- Sort all incoming and outgoing mail and packages upon arrival and assist with metering outgoing mail for programs.
- Responsible for maintaining inventory records, assisting programs with mailroom supply orders; loads the postage meter and handles supplies associated with the meter machine.
- Assist with operating software for tracking all UPS / FedEx shipments.
- Operate mailroom van with pick-up and delivery of mail, as necessary, including, the delivery of sorted, metered mail to the US Post Offices and all Boston Public Health Commission sites.
- Performs other duties as required.
