Administrative Assistant
Location : Cincinnati, Ohio – Onsite
Employment Type : Non-Exempt, Full-Time
Compensation : $50,000 – $60,000 per year (commensurate with experience)
Job Summary
The Administrative Assistant provides comprehensive administrative, clerical, and event support to ensure the office runs smoothly and professionally. This role supports multiple departments, assists with HR tasks, coordinates events and catering, maintains a clean and organized office environment, and prepares business documents. The ideal candidate is detail-oriented, professional, and comfortable handling confidential information.
Key Responsibilities Administrative & Office Support
- Serve as a point of contact for employees, visitors, and vendors with a high level of professionalism.
- Maintain reception and shared office spaces to ensure a clean, organized, and welcoming environment.
- Maintain supply cabinet inventory and order supplies as needed.
- Ensure office equipment is in working order and coordinate repairs with internal or external vendors as needed.
- Process incoming / outgoing mail, deliveries, and packages.
Event Planning & Coordination
Plan and coordinate company events, meetings, and celebrations.Order catering, supplies, and equipment, ensuring setup and cleanup are completed smoothly.Create event materials including badges, name tags, table signs, itineraries, and agendas.Assist with communication and logistics to support successful employee engagement events.Scheduling & Communication
Schedule meetings, reserve conference rooms, and coordinate calendar requests.Prepare and distribute meeting agendas, presentations, and minutes when needed.Assist leadership with travel arrangements.Recordkeeping & Documentation
Maintain electronic filing systems with accurate and organized documentation.Create and format business documents including reports, letters, spreadsheets, and presentations.Support badge creation, ID cards, and access requests for new or visiting personnel.Prepare new hire packets and training materials.Provide administrative support for HR initiatives, communications, and employee recognition efforts.Maintain confidentiality and handle sensitive information with discretion.Procurement, Finance & Expense Management
Manage procurement through SAP as requested.Create Purchase Requisitions and monitor progress through the release process.Track invoices, obtain approvals, and resolve discrepancies as needed.Reconcile and reallocate costs to the proper cost centers.Create and submit expense reports.Qualifications
High school diploma required; Associate degree or administrative certification preferred.3–5 years of administrative, office coordinator, or office management experience required.Experience planning events, catering orders, or employee functions strongly preferred.Proficiency with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).SAP experience preferred or willingness to learn.Strong written and verbal communication skills.Excellent organizational and time-management abilities.Customer service focused, professional, and flexible in a fast-paced environment.Experience supporting HR, onboarding, or employee files is a plus.Work Environment & Expectations
Professional office environment with regular interaction across departments and leadership.Business attire required to maintain a polished, professional front-office image.Regular use of computer, telephone, and standard office equipment.Occasional lifting up to 20 lbs. (supplies, files, or event setup).Working Hours : 8 : 30 AM – 5 : 00 PM, Monday – Friday. Sometimes off-shift activities.
