General Information Vacancy Open to All Candidates Employment Type Permanent - Full-time If time-limited, note appointment end date Hours per week 40 Months per year 12 Position Number 001983 NC Salary Grade Equivalency NC09 Classification Title Administrative Support Specialist - Journey Working Title Administrative Support Specialist Salary Range $35,608 - $48,961 Anticipate Hiring Range $35,608 - $44,510 FLSA Status Non Exempt Division Academic Affairs Department College of Science (Col) Work Unit Col of Science Work Schedule 40 hours per week during standard business hours, Monday-Friday between 7:00 am and 5:00 pm Primary Purpose of Position The purpose of this position is to provide purchasing and travel support to multiple departments within the Klein College of Science. Minimum Education/Experience Required Minimum Qualifications:

Graduation from high school and one year of related office experience; or an equivalent combination of education and experience.

  • Create and manage requisitions, purchase orders, and invoices in 49erMart.
  • Request and set up new vendors and office equipment contracts.
  • Assist with and process P‑Card purchases for travel and operating expenses.
  • Prepare, review, and submit travel requests, travel expense reports, and reimbursements.
  • Serve as the first point of contact for travel and purchasing assistance.
  • Create and Maintain the College’s Purchasing and Travel Processes and Procedure Manuals.
Other Work Responsibilities
  • Provide purchasing and travel guidance and status updates.
  • Serve as liaison to the University Travel and Purchasing Office.
  • Handle confidential and sensitive information discreetly and professionally.
  • Create monthly reports using Microsoft Excel or Google Sheets.
Departmental Preferred Experience, Skills, Training/Education
  • Proficient use of 49erMart, Concur, Google Workspace, and Microsoft Applications
  • Experience in a college/university setting.
  • Ability to communicate professionally and respectfully with all individuals.
  • Ability to use independent judgment and interpret established guidelines.
