Job descriptionOverview We are seeking a customer-focused Office Services Associate to support print, scanning, and mailroom operations within a professional law firm environment. This role requires strong communication skills, professionalism, and the ability to handle sensitive and time-critical legal documents with accuracy and confidentiality. The selected candidate will also be cross-trained in hospitality support and printer fleet assistance, making customer service the most important skill for this role. Requirements High School Diploma or GED (or equivalent work experience). 1+ year of experience in the legal industry strongly preferred. Previous experience in mailroom, print/copy, or office services is a plus. Strong customer service and communication skills. Basic computer skills including Microsoft Office. Ability to work with office equipment such as printers, scanners, postage machines, and bindery equipment. Knowledge of shipping/receiving procedures preferred. Ability to lift up to 50 pounds. Strong organizational, troubleshooting, and problem-solving skills. Ability to handle confidential documents with accuracy and professionalism . Additional Information Must complete Client Legal training within 90 days of hire. Some tasks may require working independently and managing multiple requests simultaneously. Occasional movement between buildings may be required. Key Responsibilities Operate high-volume printers, copiers, and scanners for document production. Manage incoming and outgoing mail, including sorting, distribution, shipping, and receiving. Process document scanning, file conversion, and electronic document handling. Perform binding, finishing, and quality checks on printed documents. Maintain copier and printer functionality, clear jams, and report technical issues. Distribute office supplies, mail, and completed print jobs to designated locations. Maintain meter logs, billing records, and supply inventories. Assist with file services, archiving, and document organization. Support shipping and receiving operations, including packaging and verifying shipments. Provide professional support to legal staff, including attorneys, paralegals, and legal secretaries. Ensure work areas and equipment remain organized, stocked, and operational. Assist with special document projects and tight deadline requests.
