AECOM is seeking a highly qualified Document Control Manager to lead and oversee critical document management, records governance, and controlled information workflows across major programs and operational environments. This role is responsible for ensuring that all documentation processes are executed with accuracy, consistency, security, and full compliance with company standards and applicable regulatory requirements.
The Document Control Manager provides centralized leadership for document lifecycle management, supports audit-ready recordkeeping, and enables efficient coordination across project teams, contractors, clients, and stakeholders.
Key Responsibilities:
Document Control and Records Management Oversight
- Oversee and direct all aspects of document control and records management activities for the office, department, or program, ensuring compliance with organizational standards and contractual requirements.
Policy and Procedure Development
- Develop, implement, and enforce comprehensive document control policies, procedures, naming conventions, and governance workflows focused on efficiency, accuracy, consistency, and information security.
Workflow and Submission Management
- Manage the full lifecycle of program documentation, including document receipt, routing, review, approval, distribution, retrieval, archival, and controlled record retention.
Operational Coordination and Quality Assurance
- Strategically assign and review document control activities, proactively identifying issues, resolving bottlenecks, and maintaining operational excellence across all documentation functions.
Administrative Workload Optimization
- Coordinate and distribute administrative and document control workloads to maximize productivity, ensure timely execution, and support program delivery schedules.
Team Leadership
- Manage project personnel administration activities and provide leadership and direction to document control staff, fostering a culture of accountability, discipline, and high-performance document management.
Stakeholder Liaison and Professional Representation
- Serve as the primary liaison for administrative and document management functions, maintaining effective working relationships with clients, contractors, vendors, and the public.
Compliance, Traceability, and Audit Readiness
- Maintain complete traceability, version control, and configuration integrity of program records to support oversight reviews, audits, claims prevention, and contractual documentation requirements.
Reporting and Continuous Improvement
- Utilize metrics and reporting tools to monitor submission compliance, overdue reviews, cycle times, and document status trends while driving continuous improvement in document control practices and systems.
Strategic Planning and Goal Alignment
- Apply extensive experience and sound judgment to plan, prioritize, and achieve organizational goals related to information governance and program document control performance.
Qualifications
Minimum Requirements
- Bachelor’s degree plus ten years of related experience or demonstrated equivalency of experience and/or education including two years of leadership.
- Experience with enterprise document platforms such as SharePoint, ProjectWise, Aconex, Unifier, or similar tools.
Preferred Qualifications
- Experience supporting document management and records governance on large programs or complex project environments.
- Experience with program and project role administration, including user access management and controlled systems workflows.
