The Pre-Award Senior Grant Administrator (Senior GA) plays an active role in the Mass General Brigham’s (MGB) Central Research Management office and serves as a primary point of contact for Principal Investigators (PIs) and Department Administrators (DAs) at Brigham and Women’s Hospital, Massachusetts General Hospital, and institutions within the MGBs’ HealthCare System. The Senior GA is dedicated to identifying and following best practices in grants and contracts administration while upholding the highest standards of integrity and fiduciary responsibility. The Senior GA will address the demands of research grant administration by providing exceptional customer service to MGBs’ distinguished research community and collaborators in their pioneering efforts in science and medicine.

The Senior GA independently manages grant-related activities for an assigned portfolio of research departments and acts as the primary contact for these departments. They provide guidance, resolve issues, and help navigate the research proposal submission and application process. These responsibilities include providing assistance with budget development, interpreting sponsor requirements, and ensuring that proposals meet sponsor and institutional guidelines and regulations. The Senior GA is expected to achieve Institutional Signing Authority and support complex hospital departments. They are expected to perform with high professionalism and the ability to represent the Research Management office both internally and externally. The Senior GA will act independently and as a member of a dynamic team to achieve the goals of the Pre-Award team and MGBs’ Research Management. The volume and complexity of a portfolio are commensurate with the level of experience. Additionally, there is an opportunity to handle a more significant and more in-depth workload with successful performance.

PRINCIPAL DUTIES AND RESPONSIBILITIES

As a new member of the Pre-Award team, you will be required to :

  • Complete all required training as per the Pre Award Manager's instructions.
  • Initially, work alongside Pre Award team members / mentors to support Pre-Award assignments.
  • Familiarize yourself with the grant management system (Insight).
  • Acquire knowledge of Mass General Brigham policies, standard operating procedures, and Pre Award policies.
  • Research and respond to inquiries from Department Administrators and PIs, conveying institutional policy, procedures, and documentation requirements.
  • Over time, transition to an independent Senior Grants Administrator with minimal supervision, typically within a 6-month period.
  • Take ownership of and manage an assigned portfolio of research departments, acting as the primary Pre-Award contact for DAs and PIs.
  • Cultivate strong relationships with hospital Department Administrators during assignments at MGB entities.
  • Stay updated on NIH Grant Policy Statement, standard federal grant regulations, as well as MGB's policy and standard operating procedures.

Key responsibilities include, but not limited to :

  • Establish and maintain strong relationships with hospital Department Administrators at MGB entities.
  • Serve as a liaison between Principal Investigators, Department Administrators, and Research Management teams.
  • Review research proposals to ensure compliance with sponsor and internal MGB guidelines. Provide feedback to the department and review revised submissions for accuracy.
  • Obtain and verify necessary compliance documents and approvals. Ensure all sponsor submission requirements are met before signatory approval.
  • Assist Department Administrators and Principal Investigators by communicating institutional policy, procedure, and documentation requirements.
  • Maintain Grants Management System records in compliance with institutional and sponsor policies for all submitted proposals. Ensure proper documentation upload and update the file's Activity Log for tracking progress and accuracy.
  • Review and approve Just in Time information requested by sponsors, including Other Support effort documentation, IRB and IACUC protocol approvals.
  • Review and approve all sponsor-required Progress Report information and submit to the sponsor.
  • Collaborate with the Pre-Award Manager and contracting team to review and evaluate Incoming FDP and Foundation contracts. Prepare contracts for signature.
  • Work with Pre-Award Manager on complex transactions, including the review of federal contract solicitations and applications.
  • Use Pre-Award reporting tools to effectively manage workflow.
  • Communicate directly with the sponsor's representative to resolve compliance and budgetary questions and ensure accurate award issuance.
  • Expected to obtain Institutional Signing Authority within six months of the start date.
  • Collaborate with assigned Department Administrators and Principal Investigators, or as triaged by the Manager, in reviewing and developing all new funding applications, including submissions in response to complex RFPs and BAAs.
  • Proposal reviews are provided to department contacts in standard format with clear notation on required and suggested changes. Contact sponsor's grant officer for clarification and guidance on sponsor's regulations and requirements, as needed.
  • Review and negotiate terms and conditions for FDP-templated incoming / outgoing subawards and foundation awards, obtaining manager signoff.
  • Verify subrecipient eligibility for subcontractor PIs and entities as part of the review and submission process for applications containing subcontractors.
  • Identify departments needing additional support and training on application process, procedures, and policies. Assist Manager and Director in developing and implementing needed training modules.
  • Handle special projects, such as training new hospital administrators, presenting on proposal preparation to new investigators, presenting at NCURA and similar meetings, system improvements, and specific compliance areas such as IRB or COIs.
  • Participate in the Research Management Training program and act as a trainer when needed.
  • Create Pre-Award PowerPoint presentations and, in some cases, act as the presenter.
  • Assume additional responsibilities as assigned.
  • Qualifications

    QUALIFICATIONS

  • 5+ years of experience in research administration in an academic setting (hospital, non-profit organization or university) is required.
  • Bachelor’s Degree preferred. Master’s degree is a plus.
  • SKILLS / ABILITIES / COMPETENCIES

  • Strong organization and communication skills, with a focus on customer service.
  • Ability to thrive in a busy, high-volume, and deadline-driven team environment.
  • Capacity to coordinate multiple activities and flexibility to reprioritize tasks when necessary.
  • Extensive knowledge and resourcefulness with program administration guidelines of Federal and non-Federal funding agencies supporting biomedical research.
  • Experience with a wide range of award mechanisms, including grants, contracts, subcontracts, and cooperative agreements.
  • Proficiency in Microsoft Office Suite.
  • Excellent problem-solving skills.
  • Excellent verbal and written communication skills.
  • Experience with MS PowerPoint is a plus.
  • Public speaking / presentation experience is a plus.
