Senior Administrator
This position is responsible for providing a full range of administrative support to directors and / or senior managers and their staff of at least 35 employees. The administrator will manage their calendars, meeting and travel schedules and associated arrangements, expense and time reporting, and other responsibilities to relieve the directors and / or senior managers and their staff of administrative details and allow them to concentrate on other business activities. The administrator is expected to demonstrate poise, initiative, trustworthiness, timeliness, precision, and adherence to confidentiality at all times.
Key responsibilities include :
- Collaborating with others to improve processes and procedures.
- Communicating professionally and effectively with employees and customers.
- Discreetly handling calls, connecting callers with appropriate staff, and following up as needed.
- Entering, formatting, and proofreading inputs into Excel spreadsheets, PowerPoint, and Word documents.
- Greeting internal and external customers.
- Maintaining strict confidentiality in all matters.
- Managing frequently changing schedules and appointments as well as coordination of projects and tasks.
- Preparing meeting agendas and compiling materials for use in meetings, discussions, and presentations.
- Building collaborative relationships, internally and externally.
- Drafting, proofreading, and finalizing written correspondence ensuring accuracy.
- Obtaining data from various sources, analyzing data and information, and preparing reports as needed.
- Planning local, domestic, and international travel arrangements maintaining awareness of any security processes for international travel.
- Preparing expense reports for travel reimbursements to ensure timely filing.
- Scheduling and ensuring full support for meetings, coordinating video teleconferences, conference calls, meetings to include reserving rooms, preparing for the event, and coordinating with on-site facilities and information technology experts.
- Working on assignments of moderate difficulty and complexity requiring judgment in resolving issues.
- Assisting the senior managers and / or managers and their staffs calendar and meeting schedules in Microsoft Outlook, to include internal and external meetings with clients and staff.
- Handling complex inquiries and referring more complex inquiries to appropriate offices.
- Monitoring external / internal communications, and addressing communications in an expeditious manner, bringing critical issues to the directors and / or senior managers attention.
- Prioritizing and coordinating the directors and / or senior managers and their staffs calendars and meeting schedules in Microsoft Outlook, to include internal and external meetings with clients and staff.

Actual pay may vary. This job posting will remain open until the position is filled. Combined salary range : USD $31.83 - USD $34.14 / hr.
