Project Administrator
ZGF is seeking a Project Administrator to join our team in our Denver office. We are looking for self-motivated people who are reliable administrators with a strong work ethic and excellent communication skills.
For our newest office, we are looking for candidates with a growth mindset and willingness to be flexible, ready to dive in wherever a need arises.
As a Project Administrator , you will
- Prepare, process and track all project-related documents including : fee proposals, contracts, change orders, document releases, payment applications and certificates of substantial completion
- Route Submittals, RFIs and other documents for issuance and maintain accurate logs per established system
- Create, proof, edit, copy and distribute general and project-related correspondence (letters, meeting notes, transmittals, reports, estimates, graphs, charts, schedules, etc.)
- Set up and maintain project files per established procedures
- Provide and coordinate presentation materials using Word, InDesign or Affinity Designer, PowerPoint
- Coordinate, schedule, and support project meetings, including room setup, coordination of food and beverage needs and conference room cleanup
- Actively contribute to the administration team to enhance skillsets, meet goals, and collaborate on solutions
- Arrange travel and associated logistics
- Accurately route and handle incoming and outgoing calls, emails and shipments
- Assist with general office and front desk duties, as needed to support the administration team
Qualifications :
- Bachelor’s degree preferred
- Minimum of 3-4 years of mid-level administrative experience, preferably some within the A / E / C field
- Meticulous organizational and filing skills
- Must be articulate with superb written and verbal communication skills, including excellent spelling, grammar and typing abilities
- Able to work independently and efficiently under pressing deadline situations while maintaining good working relationships with teams and staying abreast of daily work requirements
- Ability to demonstrate flexibility and contribute however possible to support project and firm objectives
- Ability to work in multiple computer programs simultaneously
- Proficiency in Microsoft Office Suite required
- Proficiency with Microsoft Teams preferred
- Aptitude for learning new software
- Knowledge of architectural / engineering terminology a plus
Base Salary Range
60,000 / yr - $80,000 / yr
