Office Administrator
Madison College is seeking an Office Administrator to provide high-level administrative support to the Vice President of Human Resources, Equal Opportunity, and Civil Rights, ensuring the efficient operation of the HR department and the office as a whole. This position is instrumental in ensuring the department's effectiveness through sound judgment, organizational excellence, and a commitment to quality service. The successful candidate will manage complex administrative functions, maintain the highest standards of accuracy and confidentiality, and cultivate productive relationships with internal and external stakeholders. This role contributes directly to the College's strategic objectives by promoting efficient operations, reliable record management, and responsive, service-oriented support that strengthens institutional performance.
This full-time, exempt, year-round position follows standard office hours, Monday through Friday, 8 a.m. to 4 : 30 p.m. The role is primarily onsite at our Truax Campus in Madison, Wisconsin, with remote work on Fridays (subject to change per college policy).

Accountabilities :
- Plans and coordinates purchasing, travel and financial transactions and long-term administrative services including monitoring budgets, and resolving discrepancies and ensuring compliance with institutional policies to support operational continuity.
- Prepares and edits correspondence, reports, forms, spreadsheets and other documents related to operational, budgetary and administrative processes to ensure accuracy, completeness and compliance with institutional standards.
- Supports planning and coordination of meetings, events and communications to enhance engagement, ensure accuracy of documentation, support with tracking projects and align with departmental initiatives.
- Provides project and operational support across multiple areas including contracts, reporting and budget planning to improve efficiency and meet institutional goals.
- Exercises independent judgment in resolving complex operational issues, improving processes and supporting day-to-day departmental functions to ensure effective service delivery.
- Maintains SharePoint for accuracy of the Human Resources site and currency of documents / resources.
- Maintains accurate records and documentation related to complaints, investigations and outcomes. This includes general employee complaints as well as allegations of bias, harassment, and discrimination.
- Tracks, documents, and maintains records of all required employee training and acknowledgments necessary to support Equal Opportunity and Civil Rights compliance.
Knowledge, Skills & Abilities :
Knowledge of administrative procedures, records management practices and budget monitoring.Knowledge of scheduling systems, academic processes and institutional policies.Skill in using administrative software, databases and reporting tools.Ability to interpret and apply complex procedures, policies and guidelines across administrative and academic functions.Ability to manage multiple processes, meet deadlines and maintain accuracy in a fast-paced environment.Proficiency with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).Experience in data gathering, analysis, and report preparation.Ability to exercise independent judgment and problem-solving.Minimum Requirements :
Education : Bachelor's degree required. An Associate's degree may be considered with equivalent additional work experience.Experience : (2) Two plus years of relevant, professional administrative experience, preferably supporting leadership or comparable high-level roles.Preferred experience :
