Job Title : C-Level Executive Assistant
Position Summary :
We are seeking a highly organized, proactive, and detail-oriented C-Level Executive Assistant to provide high-level administrative support to our [CEO / CFO / COO / etc.]. The ideal candidate will be a strategic partner, capable of handling a wide range of executive support tasks with utmost professionalism, discretion, and efficiency.
This individual must be comfortable working in a fast-paced, high-performance environment, managing competing priorities, and interacting with senior stakeholders and board members.
Key Responsibilities :
Executive Support :
Manage and maintain the executive's calendar, including scheduling meetings, appointments, and travel (domestic / international).
Anticipate executive's needs and proactively bring together appropriate people and resources.
Screen and prioritize emails, calls, and other communications.
Prepare high-quality presentations, reports, and correspondence.
Act as a liaison between the executive and internal / external stakeholders.
Meeting & Event Coordination :
Organize and coordinate board meetings, leadership team offsites, and key strategic sessions.
Prepare agendas, take minutes, and follow up on action items.
Ensure the executive is fully briefed ahead of all meetings and engagements.
Travel & Expense Management :
Arrange complex travel plans and itineraries.
Prepare detailed travel briefs and ensure smooth logistics.
Process expense reports accurately and in a timely manner.
Confidentiality & Discretion :
Handle highly sensitive and confidential information with the utmost discretion.
Serve as a trusted gatekeeper and representative of the executive office.
Office & Project Support :
Support special projects and initiatives as assigned by the executive.
Assist with tracking key performance indicators, project timelines, and deliverables.
Coordinate with internal departments to drive alignment and execution.
Qualifications :
Bachelor's degree or equivalent experience required.
5+ years of experience supporting C-suite executives in a fast-paced corporate environment.
Exceptional organizational, communication, and interpersonal skills.
High level of professionalism and judgment.
Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and virtual collaboration tools (e.g., Zoom, Slack, Google Workspace).
Ability to handle multiple priorities and work under pressure.
Strong attention to detail and problem-solving skills.
Flexibility to work outside of standard business hours when needed.
Preferred Qualifications :
Experience in a publicly traded or high-growth company.
Project management or executive communication experience.
Familiarity with board governance processes and documentation.
