Government Welcome Center Coordinator
1st Choice is in search of a Part-Time Office Assistant to provide critical administrative and logistical support for the smooth operation of visitor services at a Federal Customer's a National Park Service site.
You'll manage visitor information requests, office supplies, mail services, the Passport Stamp Program, and various daily administrative tasks.
Location : Salt Lake City, Utah
Work Schedule : Onsite; 16 hours per week (minimum three days per week)
Primary Responsibilities :
- Visitor Information Fulfillment :
- Respond promptly to visitor requests for brochures and information (target of 10 days or less).
- Manage brochure inventory to ensure adequate stock for visitor access, including reordering when necessary.
- Mail & Shipping Coordination :
- Facilitate regular pickup / drop-off of USPS, UPS, and FedEx mail and packages with minimal interruptions.
- Ensure the functionality of mail-related equipment.
- Passport Stamp Program Support :
- Maintain an accurate log of passport stamp locations and expiration dates.
- Proactively advise leadership of renewal costs.
- Address passport stamp inquiries and program questions in a timely manner (target of 10 days or less).
- Daily Administrative Duties :
- Fulfill visitor information requests via email, phone, and mail. Prepare packages, track brochure statistics, and create annual reports.
- Manage office supplies (inventory, organization, research, and purchase requests) and office equipment (coordinate service agreements, maintain supplies, troubleshoot repairs).
- Coordinate all aspects of office mail services (pickup, sorting, sending, and package processing with USPS, UPS, and FedEx).
- Oversee government vehicles by maintaining logs, calendars, receipts, and scheduling routine maintenance.
- Coordinate the Passport Program by contacting sites, sending forms, maintaining logs, and tracking stamp renewals.
- Update databases using ArcGIS Online, NP Gallery, and the NTIR image inventory.
- Manage client email inbox, responding to inquiries, coordinating with staff, and following up on requests.
- Support the Jr. Ranger Program by managing materials and distributing completed program items.
- Upon request, make photocopies and scans as needed.
Qualifications :
- High school diploma or equivalent.
- 1 year of experience in an administrative AND customer service role; Preferred experience within a Federal government environment
- Related experience coordinating office mail services and managing office supplies and equipment
- Excellent organizational and time management skills.
- Strong attention to detail.
- Proficient in Microsoft Office Suite (Word, Excel).
- Ability to work independently and as part of a team.
- Passion for the park service and providing exceptional visitor experiences.
- Must be able to pass a criminal background investigation administered by the Client.
