Administrative Assistant
Location : Remote
Contract Duration : 7 months (expected to be extended for full 18-month contract)
Schedule : Monday - Friday, 24 hours / week
Pay Rate : $20 to $25 / hr
Position Summary :
We are seeking a detail-oriented Administrative Assistant with experience in event planning and project coordination to support a global organization. This role plays a key part in ensuring operational goals are met by managing logistics, scheduling, and coordination for workshops and events.
The ideal candidate will have strong organizational skills, the ability to manage multiple priorities, and be proactive in communication and collaboration across teams.
Key Responsibilities :
Plan and coordinate events, workshops, and meetings (virtual and / or in-person).
Manage travel arrangements and logistics for participants.
Support project coordination activities, ensuring deadlines and deliverables are met.
Handle administrative tasks, including scheduling, communications, and documentation.
Collaborate with internal and global teams to ensure smooth event execution.
Track progress and report on activities to leadership and meeting hosts.
Candidate Requirements :
Experience :
2-4 years of administrative experience, including event or meeting coordination.
Education & Certifications :
No degree required.
PMP certification is a plus (for project coordination skills).
Top 3 Must-Have Skills :
Event Planning (small or large scale) - 2 years
Project Management - 2 years
Managing Travel Arrangements - 2 years
Disqualifiers :
Inability to manage multiple priorities effectively.
Lack of experience in event or meeting coordination.
Ideal Candidate Profile :
Highly organized and detail oriented.
Strong communication and collaboration skills.
Experienced with global logistics and expense / travel systems.
Proactive in managing multiple moving parts and anticipating needs.
