Job Summary
Cardinal Ritter Senior Services, one of South County's largest independent, assisted living, skilled nursing and rehabilitation community nonprofit senior living communities, seeks compassionate and experienced Office Manager to join our growing team.

This position functions as the Office Manager / Receptionist / Administrative Assistant / Activity Assistant to the staff of Our Lady of Life Apartments.
Must follow HIPPA guidelines Responsibilities include, but are not limited to, communicating with the residents and providing a warm atmosphere in which they live.
Scheduling of the other receptionists, works on tasks for Administrator, assist with activities and assists other departments as needed.
Job Responsibilities
Creates a warm atmosphere for the residents.
Schedule and supervise receptionists, covers for receptionists, prepare and deliver receptionists evaluations.
Assists with administrative functions.
Prepares office supply order.
Supervise, schedule and prepare evaluations for receptionists.
Ensures that all daily / weekly menus are merged and printed accordingly.
Update resident telephone lists and the lists kept at the exit doors.
Update the OLOL Facebook as needed.
Assists Activity Dept. with the monthly newsletter and actvities
The ability to work flexible hours when needed by the Activity Dept.
Distributes packages and medicines.
Responds to alarm panel and notifies appropriate staff member.
Responsible for maintenance and repair of all office equipment.
Assists in coding office supply invoices for Administrators signature.
Ensures that all apartment keys are accounted for and secure during shift.
Create, maintain and communicate the yearly schedule for all MOPH receptionists.
Responsible for coverage of Front Desk at OLOL during breaks, lunches, etc.
Prepare written receptionist policy and procedures.
Assist Activity Director and Administrator as needed.
Conducts tours if requested.
Distributes vending machine reimbursements.
Maintains supply of postage stamps.
Communicate appropriate information to the evening staff.
Perform other duties as assigned.
Job Requirements
KNOWLEDGE & EXPERIENCE REQUIREMENTS Previous work with senior adults, Experience with Microsoft office, previous office management experience preferred.
SKILLS & ATTITUDES REQUIRED FOR SUCCESS IN JOB
Customer service skills and computer skills A MUST.
Must be sociable, conscientious, reliable, and cooperative.
Possess a team spirit.
Must be able to exercise good judgement.
Must be able to multi-task.
Must be able to perform the essential physical / mental functions / requirements of the position (see attached).
RELATIONSHIP REQUIREMENTS
Interaction with residents, vendors, visitors and family members required on a daily basis. Working relationships with staff is required on a daily basis.
RESOURCES FOR WHICH ACCOUNTABLE
Serves an Independent Senior Community of 215 plus residents, family members, guests, vendors, numerous walk-in members of the public and 50 plus staff members.
Responsible for a staff of 3-5 receptionists.
