Executive Assistant
Brown Advisory is currently seeking a customer service oriented individual to fill a need for an Executive Assistant in our Nashville office. This role is diverse, with responsibilities that include reception coverage, executive support, processing mail, vendor and inventory management, assistance with food service, and events. This is a full-time on-site position.
Executive Assistant Responsibilities
- Coordinate communications, including taking calls, responding to e-mails and interfacing with vendors, clients and other firm leaders
- Proactively assist and anticipate the needs of the Office Head and other members of the team
- Coordinate meetings directly with clients and prospects, assist with client and prospect meeting material preparation
- Maintain calendars, schedule meetings and appointments, manage travel itineraries, and submit expense reports
- Prepare meeting rooms, establish conference calls, and prepare technology for presentations
- Maintain contact data, campaigns and dashboards in Salesforce CRM - add meeting activity, sales opportunities, and event information
- Assist broader team as needed
Reception Responsibilities
Maintain proper appearance of reception and entry wayGreet clients and guests as they arrive; contact employee(s) for arrivalMailroom and Documentation Handling Responsibilities
Process and distribute incoming mail on daily basis in line with firm proceduresManage incoming and outgoing packagesManage office supply inventory, purchasing and vendor escalationReceive all incoming mail, deliveries and communicate scheduling with couriersInternal and External Catering Responsibilities
Schedule and assist with setup of conference rooms before / after meetingsManage food service inventoryDevelop and maintain vendor relationshipsCreate menus and place catering ordersKeep shared colleague space / kitchens well stocked, cleaned, and organizedCoordinate internal and external eventsQualifications
2+ years administrative support experienceBachelor's degree preferredAbility to provide excellent client serviceIllustrates tact, discretion and good judgement when handling sensitive and confidential informationKnowledge of MS Word, Excel and OutlookSuperior written and oral communication skillsAbility to set goals and meet deadlinesSome evening event coverage requiredProfessional demeanorHighly organized and detail orientedAbility to work in Nashville office locationBenefits
