Executive Assistant
The Executive Assistant to the CFO provides comprehensive support to the Chief Financial Officer and their team, performing a wide variety of administrative duties. The individual is self-motivated, professional, and capable of managing their workload as well as their executives' workloads, and proactively prioritizes tasks in a fast-paced environment.
Essential Functions and Responsibilities :
- Provides executive administrative and project support to the CFO
- Complex calendar management coordinate and schedule meetings
- Prioritize inquiries and requests while troubleshooting conflicts
- Plan, manage and coordinate extensive and complex travel arrangements
- Administer correspondence, manage incoming calls, and prioritize phone messages, emails and mail
- Prepare and handle business expenses and reconciliations
- Maintain confidentiality and exercise high degree of discretion
- Make judgments and recommendations to ensure smooth day-to-day engagements
- Manages CDAs, contracts, and agreements with companies the CFO initiates / enters discussions
- In the CFO's absence, ensure any requests for action or information are handled timely; interpret requests and implement action as needed
- Investor Relations
- Administration of press releases
- Respond to stockholder queries, set up analyst calls, and manage annual shareholder meetings
- Set up road shows, conferences, and other IR events
- Maintain and update corporate and IR contact databases
- Liaison to the BOD members and investor relations companies
- Create and manage annual other meetings calendar; coordinate and schedule meetings
- Prepare and distribute board materials and presentations
- Negotiate corporate rates with travel agents / companies / vendor

- Perform miscellaneous duties as assigned.
Required Education, Skills, and Knowledge :
Bachelor's Degree or equivalent experience5 to 10 years of experience as an Executive Assistant to C-Suite executivesIn depth knowledge of Microsoft Excel, Word, PowerPoint, and OutlookExcellent interpersonal, oral, and written communication skillsExcellent writing, proofreading, and editing skillsSounds judgement in handling highly sensitive and confidential informationComfortable in a fast-paced environment with minimal direction and changing prioritiesThe physical demands described here represent those that an employee must meet to perform the essential functions of this job successfully. Physical Demands and Activities Required :
