Summary : Staff designated at Dickinson Wright PLLC ( the Firm ) as an Executive Assistant are under the direct supervision of the assigned senior attorney (the Partner ).

According to established policies and procedures, the successful candidate would perform a variety of professional and personal duties for the attorney to whom assigned.

Responsibilities include handling client intake, billing, and communications, and coordinating personal matters for the Partner.

A positive self-starting attitude and high levels of accountability and confidentiality are essential.

Essential Duties and Responsibilities :

Essential duties and responsibilities of the successful candidate include, but are not limited to :

  • Supporting the Partner by performing an administrative role and handling detail-oriented and critical tasks; Be a true right hand to the Partner;
  • Problem solving any issues that arise, including personal or third-party issues, including attending in-person meetings outside the office on the Partner’s behalf;
  • Supporting the Partner by managing all day-to-day matters including managing travel arrangements and coordinating itinerary details;
  • keep attorney’s calendars up to date at all times;
  • Being available on a flexible schedule including outside of normal working hours on occasional nights or weekends;
  • Acting as a representative of the Partner in both personal and professional matters; Responsibilities will include coordination of client activities and personal business matters and other personal interests;
  • Reviewing, editing and processing monthly invoices;
  • Planning meetings, including creating agendas, developing background material for meetings and managing the event planning;
  • Submitting attorney expenses and following up on overdue reimbursements;
  • Making seamless use of technology (computer, cell phone, telephone, photocopier, and similar equipment);
  • Drafting correspondence, memoranda and other documents; having a clear understanding of priority status;
  • Screening telephone calls and recording messages accurately;
  • Reading, sorting, and dating incoming mail; ensuring that outgoing mail is delivered on a timely basis; if necessary, routing mail to a specific service and following up on timely delivery;
  • Opening and maintaining files; facilitating conflicts clearance process;
  • Acting as a client liaison, maintaining good positive relationships with clients; observing confidentiality rules relating to the attorney-client relationship;
  • knowing when to act and when to refer a matter to the attorney;
  • Traveling on a limited basis using the successful candidate’s personal car; Mileage over 30 miles will be reimbursed.

Qualifications, Skills and Abilities Required :

The successful candidate must :

  • Possess an Associate or Bachelor’s degree with a minimum of 3.3 GPA;
  • Work independently without constant oversight from the Partner or others;
  • Possess the ability to read and write in order to proofread typed material for grammatical, typographical or spelling errors in routine correspondence;
  • Perform non-complex arithmetic calculations when verifying calculations on forms and documents, at a level normally acquired through completion of high school or equivalent;
  • Possess 2-4 years of relevant work experience, possibly with some graphic design or marketing background;
  • Possess the ability to organize and prioritize numerous tasks and complete them under time constraints;
  • Possess interpersonal skills necessary in order to communicate and follow instructions effectively from a diverse group of clients, attorneys and staff and provide information with ordinary courtesy and tact;
  • Be flexible as to schedule, including if commitment exceeds 40 hours per week on occasion;
  • Have reliable transportation and the ability to travel to assist in attending to attorney / client needs.

Working Conditions :

Hybrid law office / non-office environment with little in-office exposure to noise, dust, temperature.
