Job Description
Provides administrative support to ensure efficient operation of the office. Supports managers and employees through a variety of tasks related to organization and communication.
Responsible for confidential and time-sensitive material. Familiar with a variety of the field's concepts, practices, and procedures.
Ability to effectively communicate via phone and email ensuring that all Administrative Assistant duties are completed accurately and delivered with high quality and in a timely manner.
May direct and lead the work of others. Rely on experience and judgment to plan and accomplish goals and a wide degree of creativity and latitude is expected.
Duties and Responsibilities
- Prepare and provide a weekly overtime audit for Dayline and Inhouse Sales positions for Westgate Smoky Mountain Resort and Waterpark, Westgate Las Vegas Resort and Casino, Westgate Flamingo Bay Resort, and Westgate River Ranch Resort and Rodeo
- Perform a biweekly review of time punches for ICs; identifying and reporting occurrences of missed punches and inaccuracies in manual entries for Westgate Smoky Mountain Resort and Waterpark, Westgate Las Vegas Resort and Casino, Westgate Flamingo Bay Resort and Westgate River Ranch Resort and Rodeo and send to the appropriate personnel at the resort level for correction
- Verify the ongoing delivery, from the resort’s local assigned team member, of the monthly report detailing instances of missed punches and subsequently summarize these findings in a report to upper management
- Conduct a thorough monthly review of timestamp data across two disparate tracking systems for the Las Vegas sales team, and report findings to upper management in a concise and informative report
- Store all documented findings in a secure and readily accessible electronic archive
- Escalate critical communication issues to senior management when necessary
- Performs other duties as assigned
Qualifications
Experience and / or Education
- Knowledge of office management systems and procedures
- Excellent time management skills and ability to multi-task and prioritize work
- Attention to detail and problem-solving skills
- Excellent written and verbal communication skills
- Strong organizational and planning skills
- Proficient in MS Office
