Job description

Director Of Administrative Services

Georgetown University comprises two unique campuses in the nation's capital. With the Hilltop Campus located in the heart of the historic Georgetown neighborhood, and the Capitol Campus, just minutes from the U.S. Capitol and U.S. Supreme Court, Georgetown University offers rigorous academic programs, a global perspective, and unparalleled opportunities to engage with Washington, D.C. Our community is a close-knit group of remarkable individuals driven by intellectual inquiry, a commitment to social justice, and a shared dedication to making a difference in the world.

The Director of Administrative Services provides strategic and operational leadership for the Library's administrative, financial, and business functions. Reporting directly to the Dean of the Library, the Director serves as a key member of the Library's senior leadership team and is responsible for ensuring that the administrative infrastructure of the Library effectively supports its mission, strategic priorities, and long-term sustainability. The position serves as the lead finance and procurement liaison for the Library and maintains collaborative relationships with University administrative offices to ensure sound stewardship of resources and alignment with institutional policies and priorities.

The Director provides leadership in financial management, strategic planning, organizational effectiveness, policy development, human resources coordination, facilities management, and operational administration. In partnership with the Dean's Executive Assistant and administrative staff, the Director serves as an administrative fulcrum for the organization, helping to align people, processes, resources, and information in support of the Dean's office and Library leadership. Through the integration of administrative systems and services, the Director advances operational excellence, promotes accountability and compliance, and helps position the Library to meet evolving institutional and community needs.

The Director of Administrative Services ("the Director") reports directly to the Dean of the Library and serves as a key member of the Library's senior leadership team. The position works closely with Associate University Librarians, directors, managers, librarians, staff, and student employees to ensure effective coordination of the Library's administrative, financial, operational, and organizational functions. The Director provides leadership and guidance on matters related to budgeting, procurement, human resources coordination, facilities planning, organizational effectiveness, policy implementation, and strategic initiatives. Depending on the final organizational structure, the position may directly supervise administrative services staff and related operational functions.

The Director maintains collaborative partnerships with numerous University offices, including Human Resources, the Benefits Office, Advancement, the Student Employment Office, Procurement, the Main Campus Office of Finance and Business Services, Georgetown University Police Department (GUPD), University Facilities, and other administrative units. Serving as the Library's primary administrative liaison to these offices, the Director helps ensure that institutional policies are implemented effectively, transactions and processes are managed accurately and efficiently, and operational needs are addressed in a timely manner. Through these partnerships, the position strengthens the Library's capacity to support Georgetown University's mission of teaching, learning, research, and service by ensuring that administrative resources, systems, and infrastructure effectively advance the Library's strategic goals and long-term sustainability.

Requirements and Qualifications

  • Master's degree in business administration, higher education administration, public administration, human resources, finance, library and information science, or a related field; or an equivalent combination of education, training, and progressively responsible professional experience.

  • Minimum of seven years of progressively responsible administrative, financial, or operational leadership experience, including demonstrated responsibility for budgeting, financial planning, forecasting, procurement, contract administration, and resource management within a complex organization.

  • Minimum of three years of experience supporting human resources, organizational operations, and administrative functions, including workforce planning, position management, employee onboarding, and policy implementation.

  • Minimum of five years of supervisory experience, including hiring, coaching, performance management, and staff development.

  • Demonstrated experience leading organizational, operational, or change management initiatives, including the implementation of new processes, systems, policies, and strategic priorities.

  • Demonstrated ability to plan, organize, prioritize, and manage multiple complex and competing responsibilities while maintaining a high level of accuracy, diplomacy, responsiveness, and customer/patron service.

  • Demonstrated commitment to organizational effectiveness, continuous improvement, and the development of efficient and sustainable administrative practices.

  • Excellent interpersonal, written, and verbal communication skills, with the ability to build productive relationships across all levels of an organization.

  • Ability to exercise sound judgment, maintain confidentiality, manage sensitive information, and uphold the highest standards of professionalism and ethical conduct.

  • Demonstrated commitment to fostering an equitable and inclusive workplace and ability to work effectively with individuals from diverse backgrounds and perspectives.

  • Advanced proficiency with Excel and the Microsoft Office Suite, Google Workspace, Adobe Acrobat, web conferencing platforms, and enterprise administrative systems.

  • Demonstrated experience utilizing financial, human resources, and reporting systems, including the effective use of databases and spreadsheets for analysis, reporting, and decision support.

  • Experience working in higher education, libraries, cultural institutions, or other complex mission-driven organizations.

  • Experience serving as a liaison to central finance, procurement, human resources, facilities, or other administrative units.

  • Experience supporting executive-level leaders and participating in strategic planning, policy development, and organizational effectiveness initiatives.
