  • Elections                                                                                             Division :  Elections Location : 118 N Clark Street                                                       Salary Range :   $56,557 Grade :    14             Job Code :  4843 Union :     SEIU73                                                                                          Shakman Status :   Non                                                                             FLSA Status : Non-Exempt Application Process :   Active Recruiting                                                                       Job Summary The Election Clerk reports directly to Election Division Supervisor and is responsible for the election day assignments of election judges for assigned Cook County suburban townships for each election cycle.  Th e Election Clerk duties also will include data entry and quality control of petitions, voter registration, candidate filing and records examination.
  • The Election Clerk is responsible for supporting the administration of elections by performing a variety of tasks before, during, and after the election process.
  • The Election Clerk will be responsible for the preparation of equipment for Election Day, record and maintain accurate accounts of equipment and supplies for inventory purposes.
  • This role ensures that elections are conducted accurately, efficiently and in compliance with all legal requirements.
  • The Election Clerk plays a crucial part in maintaining the integrity of the election process.    Essential Job Duties Provide excellent customer service while processing in-person and telephonic customer inquiries.
  • Receiving and processing candidate filings, record examinations, objections to nomination petitions and other elections-specific filings.
  • Assigns election judges for election day and nursing home voting.
  • Ensures the assigned suburban townships are staffed with trained election judges.
  • Communicates with assigned township committee people and election judges via phone and email.
  • Works with township committee people and other community groups to recruit election judges.
  • Maintains internal database of trained and active township election judge(s) for their assigned townships.
  • Attends election judge recruitment events and training events for assigned townships as directed by Judges Unit Supervisor.  Performs data entry of voter registration, candidate petitions, polling place assignments and mail voting applications.
  • Performs quality control tasks  related to voter registration events and petition challenges.
  • Coordinates assignment of polling places.
  • Communicates with Early Voting facilities and Early Voting Judges to ensure the orderly administration of all Early Voting activities.
  • Assist in the preparation and distribution of election materials, including ballots, voting machines, and supplies.
  • Conduct pre-election logic and accuracy testing of voting equipment and systems.
  • Monitor and manage the operation of voting machines and other election equipment.
  • Address and resolve any issues with voting equipment.
  • Perform election tabulations, reconciliation, rework activities and canvassing.
  • Perform pre-election and post-election E- pollbook processing.
  • Prepare for the disposal of records and equipment in accordance with outlined retention requirements.
  • Follow the equipment logistics plan established by Elections management.
  • Ensure quality assurance measures are properly conducted.
  • Perform decomposition of election equipment.
  • Work off site as directed.
  • Perform other duties as assigned.

  • Minimum Qualifications Possession of a High School Diploma or a General Education Development (G.E.D.) certificate.
  • Two (2) years of experience performing elections related work.
  • Proficiency with Microsoft Word and Excel.

  • Knowledge, Skills and Abilities Knowledge of the election process including a basic understanding of working in accordance with statutory guidelines.  Proficient in the use of Microsoft Office including Word and Excel.
  • Ability to resolve conflicts or problems with minimal supervision.
  • Ability to demonstrate excellent customer service, including always maintaining a professional demeanor while communicating with township committee people and election judges.
  • Ability to work under pressure to meet strict deadlines.
  • Ability to communicate effectively and to work well as part of a creative and problem-solving team.
  • Ability to work on multiple projects and prioritize for optimum results.
  • Ability to work under pressure while multi-tasking and be able to meet strict deadlines.
  • Ability to work overtime including evenings, weekends, and holidays during the election cycle.
  • Physical Requirements May have to stand or sit for long periods of time.   May be required to frequently bend or stoop.   May be required to lift or carry up to 55 lbs.
  • May have to bend, reach and carry items related to the election process.
