We work closely with them as well as their family and their healthcare providers throughout the patient journey, staying focused on optimal clinical outcomes.

Schedule & Location :

Working Hours May Vary Across All Continental U.S. Time Zones

It is anticipated that an incumbent in this role will work onsite at our location in Overland Park, KS. Work schedule and location are subject to change based on business needs.

Job Description :

The Escalations Coordinator is a member of the Intake team who is responsible for following patients needing additional work to ensure proper patient coverage.

QUALIFICATION REQUIREMENTS

  • High School Diploma or GED required
  • Minimum of two (2) years of medical insurance experience required
  • Basic computer and internet skills (e.g. Microsoft Office)
  • Strong customer service skills, focus and dedication.
  • Commitment to excellent customer service and professionalism to resolve complex payer coverage issues

QUALIFICATIONS PREFERRED

  • Minimum of two (2) years of home infusion experience preferred
  • Prior training or clinical education experience preferred
  • Prior experience with CareTend preferred
  • Certified Pharmacy Technician / License preferred
  • ESSENTIAL FUNCTIONS AND RESPONSIBILITIES

    Collections Responsibilities

  • Tracks patients on a weekly basis; maintains report in Excel and updates each outstanding claim with a status detail note, including insurance company’s reference number.
  • Maintains documents showing proof of communique with insurance companies, providers, etc. (i.e. email printouts, fax confirmations, FedEx tracking).
  • Responds to insurance requests in a timely manner (medical records, rxs, CMNs, etc.)
  • Insurance Responsibilities

  • Verifies new patient referral information with insurance company
  • Reports unusual events or trends related to claims or insurance industry to Senior Director of Intake.
  • Proactively improves understanding of products and treatments; stays current on legislative changes and insurance coverages, and is capable of disseminating this information to employees, patients and others
  • Participation in QMC Quarterly Meetings, as needed.
  • Participates in orientation, education, training programs, CE’s, literature reviews and other materials, as assigned.
  • Provides courteous, cooperative and timely service to patients, visitors, and staff.
  • Participates in quality assurance activities and audits, as directed.
  • Training Responsibilities

  • Develop and deliver training programs for intake team members focused on accurate data entry, eligibility verification, and escalation resolution to reduce errors and future denials.
  • Monitor intake activities to identify trends in errors, escalations, and denials, and use findings to create targeted coaching and corrective action plans.
  • Collaborate with leadership and quality assurance teams to update training materials, workflows, and best practices based on common escalation issues and payer requirements.
  • Provide real-time feedback and support to intake staff during escalation situations, reinforcing proper procedures and ensuring timely resolution.
  • Track and report on training effectiveness by analyzing pre- and post-training error rates, identifying remaining knowledge gaps, and recommending continuous improvement initiatives.
  • Lead regular refresher courses, workshops, and one-on-one coaching sessions to maintain high competency levels across the team and ensure consistent adherence to intake policies and escalation protocols.
