Executive Administrative Assistant Lead
This position will supervise non-exempt Executive Assistants within the Executive Office. You will perform a variety of complex and sensitive administrative duties to support Executive Management.
What You'll Do :
- You will supervise non-exempt Executive Assistants within the Executive Office, including establishing team goals, individual goals, and on-going performance coaching and management.
- You will perform high-level administrative responsibilities, including scheduling meetings, taking and delivering confidential messages, and composing routine and non-routine written correspondence for assigned Executives. Coordinate and calendar the daily schedule, including meetings, conferences, and travel. Schedule and coordinate travel itineraries, ground transportation and related meetings.
- You will respond to incoming calls from employees, members, vendors and others, providing general information and referring calls of sensitive nature to appropriate area.
- You'll diplomatically handle complaints / inquiries as they develop independently. Coordinate business relationships with staff, members, Auto Club Alumni, vendors, and professional organizations.
- You will assist with preparing budgets, annual and monthly forecasts and cost performance review as well as other financial reports. Make recommendations regarding budgeting needs and trends to the Executive Staff, when requested.
- You'll assist in the coordination of Events / Meeting planning (Board and Executive / Manager level) for the Executive(s) including coordinating contracts with hotels, vendors, etc., as required.
- You will handle identified administrative responsibilities in the Executive Office such as oversight of employee event tickets, corporate contribution tracking and reconciliation, and annual reconciliation of entertainment expenses.
- Prioritize conflicting needs, handle matters expeditiously, proactively rather than reactively, and follow through on projects to successful completion, most often with deadline pressures.
- You'll advise, coordinate, and collaborate on special projects which are highly complex, and involve creation and oversight of multifaceted teams. Make decisions and take action to meet objectives independently.
- Manage the processing of invoices, contracts, and other written correspondence with other departments, members, legal agencies, vendors, and professional organizations.
- You will maintain current knowledge of organization's projects, goals, and objectives. Attend department meetings, training workshops, and seminars. Develop working relationships with internal departments for support, information, and assistance.
- Perform other duties and responsibilities as assigned or required, such as the ERS Critical Response Team.
What You'll Need :
7 9 years office administration experience, preferably supporting executive or upper management.4 6 years Supervisory experience.Advanced level computer skills (including Outlook, Word, Excel, PowerPoint, Access, MS Teams, timecards, and SharePoint).Advanced skills regarding spelling, grammar, punctuation, vocabulary.Advanced skills in writing reports, designing forms and filing / record keeping.Must have strong time management skills, be detail oriented to handle several projects / tasks at a time and be able to prioritize in order of urgency of need / deadline. Advanced ability to structure activities effectively and set priorities while adjusting to changing circumstances required.Effective and efficient calendar management and negotiation, in coordinating assigned Executive(s)'requested meetings, in addition to participation in invited meetings is critical.Must be able to problem-solve "on the spot" to find a positive resolution when tasked with an assignment, issue, problem under ambiguous, time constrained, high-pressure circumstances on a routine basis.Knowledge of our multiple business lines in support of the Club's Member Relationship Management (MRM) strategy. Understanding and upholding the company's core values are paramount.Moderate math skills.Ability to quickly learn the company's policies, protocol, and business units.Ability to effectively work in a team comprised of management as well as peers required.Prior Club-related experience preferred.The starting pay range for this position is : $84,100.00 - $111,900.00.
