Description : Responsible for facilitating the efficient operation of assigned departments by performing a variety of clerical and administrative tasks. In addition to performing a full range of administrative support to assist departments, management and staff. The Administrative Assistant is involved in the implementation, documentation and management of programs and policies for departments and staff. Demonstrates sound judgement required for monitoring and reporting departmental activities and related matters. Provides administrative support to management and staff.
Responsibilities :
- Provides administrative support and assistance to assigned department and staff.
- Answers and transfers phone calls, screening when necessary.
- Maintains filing systems as assigned.
- Retrieves and drafts information as requested from records, email, minutes, and other related documents; prepares written summaries of data as needed.
- Responds to and resolves administrative inquiries and questions.
- Coordinates and schedules travel, meetings, and appointments for managers or supervisors.
- Prepares agendas and schedules for meetings.
- Records and distributes minutes or other records for meetings.
- Maintains office supplies and coordinates maintenance of office equipment.
- Maintains a system for recording expenses and the use of petty cash.
- Performs clerical and administrative tasks including drafting letters, documents, memos, invoices, and reports.
- Receives incoming communication or memos on behalf of management and staff, reviews contents, determines importance, and summarizes and / or distributes contents to appropriate individuals.
- Performs additional duties as assigned by executives.
