Job description

Baby2Baby is a non-profit organization that provides children in need with diapers, formula, clothing, and the basic necessities that every child deserves, serving more than one million children across all 50 states. The organization has distributed over half a billion items in the past 14 years to children in homeless shelters, domestic violence programs, foster care, hospitals and school districts as well as children who have lost everything in the wake of disaster. Position Overview

Reporting to the Chief of Staff, the Assistant provides administrative support to the office of the Co-CEOs and supports other ad hoc projects.

The Assistant will work Monday-Friday at 5830 W. Jefferson Boulevard, Los Angeles, CA 90016 with occasional weekend work. The work is performed in an office setting and is currently on site 3 – 5 days per week.

Duties and Responsibilities

  • In collaboration with the Chief of Staff, manages Co-CEOs' calendars, including scheduling all internal and external meetings and calls.
  • Supports Chief of Staff with the daily workflow for the office of the Co-CEOs including calendaring, meeting requests, meeting setup, completion of Co-CEOs' to-dos, booking travel, and communication with internal teams and external parties.
  • Executes day-to-day administrative tasks including, but not limited to, processing expenses, ensuring bills, checks and contracts are reviewed and completed as needed.
  • Coordinates with internal departments to proactively gather materials for meetings, conferences, and presentations.
  • Partners with Chief of Staff to develop and maintain systems to track key priorities, shares and tracks all weekly department updates, ensuring Co-CEOs stay up to date on all day-to-day activities of the organization.
  • Runs necessary errands as needed, including meeting lunches.
  • Assists during Baby2Baby events including the Gala, distributions, conferences and more.
  • Other duties as assigned.

Required Qualifications

  • Minimum of 3- 5 years' experience as an administrative assistant.
  • Valid Driver's License and the ability to run errands..
  • Experience working with high profile individuals, a plus.
  • Commitment to Baby2Baby's mission.
  • Detail-oriented, taking pride in maintaining best in class organization systems.
  • Strong communicator, decision-maker, and strategic-thinker.
  • Ability to work in a fast-paced work environment that requires strong multi-tasking skills, excellent time management and a self-starter mentality.
  • Highly organized with a strong attention to detail and follow-up with the ability to work in a team environment.
  • Results-oriented with excellent interpersonal skills.
  • Excellent oral and communication skills with the ability to speak professionally and with confidence to donors and board members.
  • Exceptional client and customer service skills.
  • This role's salary range is between $28-32 / hr. Actual salary is determined based on a number of factors, including but not limited to your relevant skills, qualifications, and years of experience.
