Position Overview :
We are seeking a detail-oriented Payroll Specialist to join our Payroll team. This role is responsible for employee pay processing across multiple weekly and semi-monthly payrolls, including Canadian payrolls, for our client sites and temporary roles nationwide. The ideal candidate will have hands-on experience with payroll systems such as Bullhorn, Great Plains, and eRecruit, and a strong understanding of multi-state payroll, payroll compliance, and tax withholding and reporting.
Responsibilities of the Payroll Specialist :
- Process payroll for associates from onboarding through termination, ensuring accurate pay for both nonexempt and exempt employees.
- Adhere to payroll timelines, processing weekly and semi-monthly payrolls.
- Verify work hours and leave data from timekeeping systems and third-party vendors.
- Handle VMS / MSP / 1099 / W2 payrolls, ensuring correct payroll classifications.
- Ensure compliance with federal, multi-state, and local payroll laws, including Paid Sick Time, overtime, and paycheck terminations.
- Conduct payroll reconciliation and resolve discrepancies promptly.
- Process garnishments and deductions in accordance with legal orders.
- Reconcile payroll taxes and filings, maintaining accurate records for reporting purposes.
- Maintain associate payroll records, including direct deposit, address updates, and tax edits.
- Respond to payroll-related inquiries via phone and email in a timely manner.
- Assist with year-end payroll reporting, including W2 preparation.
- Support other payroll functions and special projects as directed by the Payroll Manager.
Required Experience / Skills for the Payroll Specialist :
Minimum 3 years of payroll experience, preferably in a staffing or multi-state environment.Hands-on experience with payroll systems such as Bullhorn, Great Plains, or eRecruit.Strong understanding of multi-state payroll, payroll compliance, tax withholding and reporting, garnishments and deductions, and payroll reconciliation.Proficiency in Microsoft Office, particularly Excel, for payroll reporting and audits.Ability to manage confidential payroll information with a high degree of integrity.Detail-oriented, organized, and able to meet strict deadlines in a fast-paced environment.Excellent communication skills to interact effectively with associates, accounting, and HR teams.Physical Requirements :
Ability to sit for extended periods of time.Education Requirements :
