Summary of Duties
The Office of Developmental Disabilities Services (ODDS) provides opportunities to link services for Oregonians who have intellectual and / or developmental disabilities. As part of its function ODDS oversees an array of services including but not limited to residential, in-home, employment, family support, crisis, and case management delivered through a state field structure or agreements with county governments or subcontracted agencies.
ODDS is responsible for the development and administration of programs that support children and adults with intellectual or other developmental disabilities to remain in their own home or community.
As an Office Specialist, you will :
- Provide a wide variety of secretarial, technical or administrative related tasks to support the operations of the ODDS and to function as a team member of the ODDS support unit.
- Sends Certified Mail to external partners.
- Coordinates and issues the sending of Gift cards to individuals who participate in Quality Assurance (QA) related interviews.
- Sets up Zoom and Teams meetings for QA staff for both meetings with external partners and interviews with individuals.
- Schedules meetings and other activities for QA staff.
- Takes notes at meetings.
- Coordinates and sends communications related to the NCI surveys, including multiple mass mailings.
- Collects and tracks letters sent back related to the NCI survey.
- Other tasks assigned
Minimum Qualifications
Two years of general clerical experience, one year of which included typing, word processing, or other experience generating documents.
OR
An Associate degree in any field.
OR
An equivalent combination of education and experience. (Graduated from a private school of business with a certificate AND one year of general clerical experience.)

Experience reviewing documents and information for accuracy, completeness, and adherence to established guidelines.Experience recording accurate and detailed meeting minutes in a professional setting.Experience using database programs and Microsoft Office applications, including Word, Excel, and Outlook.Experience delivering customer service in an office environment, including sharing information clearly and researching answers when needed.Experience managing competing requests and shifting priorities while meeting deadlines.Experience working collaboratively with diverse individuals and maintaining confidentiality when handling sensitive information.Attention all candidates! Working Conditions
Your typical work schedule will be Monday Friday, 8 : 00 a.m. 5 : 00 p.m. Pacific Time.Your work will have a Hybrid work format that includes, office work, and some work that can be conducted remotely. You will be required to come into the office 3 (Three) days per week.A plus is the location of our office in Salem. There is free parking for staff and visitors and there is access to a variety of food choices and other services within a short drive.You will interpret and explain Oregon laws, rules, regulations, and operational policies and procedures.Contact with the public, including contact with Oregonians experiencing emotional and financial stress.Serve a diverse range of customers with compassion and professionalism through a trauma informed lens.May require sitting at a computer or telephone for prolonged periods of the workday.Potentially, you may have required overnight travel to attend statewide meetings and trainings.Background Checks and Requirements
