Position Summary :
We are seeking an Office Administrator to oversee the daily operations of our office, located in Novi Sad. This role is essential to ensuring a comfortable, efficient, and well-functioning work environment for our Novi Sad team.
Role & Responsibilities :
- Ensure smooth day-to-day office operations, making the employee office experience pleasant and seamless.
- Coordinate with service providers (Landlord, Facility management, cleaning, maintenance, deliveries, etc.).
- Support employees with administrative, HR, and organizational tasks, being the first POC.
- Coordinate paperwork with the accounting agency branch / local government administration branches in Novi Sad for all employee-related matters.
- Welcome visitors and handle incoming calls, receive letters, packages, and distribute them, answer phones, taking messages, and write e-mails, perform administrative tasks including filing and photocopying.
- Ensure compliance with internal policies, including health and safety in the office, support office certifications, and other procedures essential for office continuity.
- Manage office supplies; Monitor office budget and handle work on the preparation of procurement requests related to office needs, open POs in the system, as well as monitor the process from initialization, approval to final payment and delivery.
- Basic understanding of the finance / accounting rules relevant in Serbia, such as work in SEF, e-Uprava, and similar, to support the finance / HR / admin tasks will be an advantage.
- Take part in various administrative projects, support local HR and finance documentation flow.
