Job Summary:

We are seeking a seasoned Warranty Operations Administrator to lead and optimize our warranty services across multiple branch locations. The ideal candidate will have a proven track record in leading large technical teams, standardizing operational workflows, and driving financial turnaround through effective process management. This role may require some travel, strong leadership skills, and the ability to collaborate with internal teams and customers.

Key Responsibilities:

  • Lead and manage the warranty process across all Service Departments and OEMs. Assisting in identifying training resources and gaps at the department or role level, to ensure proficient, efficient and accurate claims processing and maximize reimbursements to the company against this scope of work.
  • Provide resources across multiple branch locations to ensure continuity of SOP's and application of warranty protocols are maintained.
  • Implement, and maintain standardized processes for billing warranty repairs, support programs, and warranty repair invoicing for major clients and OEM partners.
  • Oversee the end-to-end lifecycle of warranty repair orders from initiation to closure ensuring compliance with company SOP's and manufacturer guidelines.
  • Collaborates cross-functionally with technicians, service managers, and OEM representatives to verify warranty eligibility and claim accuracy.
  • Manage the logistics and documentation of warranty part returns to manufacturers and oversee submission of all warranty, recall, and campaign claims.
  • Lead our effort in fulfilling OEM campaign completion rates, with high attention toward safety campaign completions within established timelines.
  • Drive continuous improvement initiatives, including Lean Management practices, to enhance efficiency and financial performance.
  • Manage and coordinate safety recall and campaigns of OEM equipment
  • Ability to work in a constant state of alertness and safe manner
  • Additional duties as assigned

Qualifications:

  • High school or GED equivalent required
  • 2+ years of experience in warranty operations or technical service management preferred
  • Strong knowledge of OEM warranty programs and repair work order processes preferred
  • Proficient in process optimization and change management
  • Excellent organizational, communication, and problem-solving skills
  • Willingness to travel to branch locations infrequently
  • Familiarity with service management software and warranty claim systems preferred
  • Strong analytical skills with a focus on operational metrics and financial impact
  • Ability to influence and drive changes in cross-functional environments
  • Customer Service -Phone Etiquette
  • Microsoft Office Suite experience required
  • Analytical and detail oriented
  • Some mechanical knowledge preferred
