Job description

Job Title: Clerical Associate

Monthly Pay: $3,484 - $5,204 USD per month

Summary:

Each shift begins with a shared queue of internal emails and clerical requests waiting for review, prioritization, and a clear next step. This contract role supports the administrative team under an administrative team lead, helping routine office tasks move forward accurately and keeping colleagues informed. The associate works with department coordinators and internal requesters to clarify instructions, update task information, and prepare routine correspondence throughout the shift. The position is fully remote and offers work from home in Texas, United States. The role requires a 40-hour weekly commitment. Working days and shift times may vary.

Job Responsibilities:

  • Review incoming requests in the shared email queue, identify the requested clerical task, and sort work using team priorities and stated deadlines.
  • Check each request for clear instructions, required reference information, and an assigned contact before beginning work or asking the requester for clarification.
  • Enter task details into a project management tool such as Trello, including ownership, due dates, current status, and any outstanding questions.
  • Compare supplied information with approved reference lists, correct straightforward entry errors, and flag conflicting details for the administrative team lead to review.
  • Prepare routine acknowledgments and internal correspondence using approved templates in a word processor such as Microsoft Word, checking names, formatting, and clarity.
  • Update shared task lists as work progresses so department coordinators can see completed steps, pending responses, and items needing another person's input.
  • Follow up with internal requesters when instructions or reference details are missing, noting the response and revising the task status when appropriate.
  • Escalate unclear priorities, repeated discrepancies, or requests outside assigned authority to the administrative team lead with a concise explanation of the issue.
  • Check completed work against instructions before marking tasks finished; quality is judged by accuracy, turnaround, complete notes, and dependable follow-up on open items.
  • Close completed requests with a brief confirmation, then leave clear handover notes for unfinished tasks, including pending questions and the next required action.

Qualifications:

  • High school diploma or equivalent.
  • No experience required; related clerical, office support, or administrative assistance experience preferred, including experience completing routine tasks from written instructions.
  • Familiarity with basic office procedures, task prioritization, and careful handling of internal business information while following established team instructions.
  • Ability to enter and verify information accurately, spot inconsistencies, and ask questions rather than make unsupported assumptions about missing details.
  • Basic familiarity with the named systems preferred, with willingness to learn template formatting, task status updates, and routine proofreading practices.
  • Clear written communication for internal emails and concise task notes, along with courteous communication when requesting clarification or reporting delays.
  • Ability to organize assigned work, follow checklists, and maintain attention during repetitive desk-based tasks without overlooking changes in the instructions.
  • Access to a reliable computer, high-speed internet, and a quiet private workspace; availability for the 40-hour weekly commitment and agreed working days and shift times.
  • Authorization to work in the United States.

Perks & Benefits:

  • Fully remote work from home within Texas, with desk-based responsibilities and clearly defined administrative support duties.
  • Structured onboarding and training on the named systems, shared queue procedures, templates, and task completion checks.
  • Regular check-ins with the administrative team lead to review questions, priorities, and feedback on completed work.
  • Opportunities to build clerical accuracy, proofreading, task tracking, and professional internal correspondence skills through routine assignments.
  • Health coverage, paid leave, maternity leave, bonus opportunities, and stipends.
