GENERAL SUMMARY

This role serves to assist Community College of Denver’s academic departments by providing critical administrative oversight and support in budgeting and purchasing;

auditing academic materials for accuracy, student centered focus, and compliance; grant management; and other administrative support.

This position reports to the senior manager of Academic Operations and will coordinate with department chairs and pathway dean to complete pathway projects.

The successful candidate will be equity focused and have a strong demonstrated knowledge of administration strategies, theories, and best practices.

Duties and Responsibilities

PRIMARY DUTIES

Student Support

Be the first point of contact for student questions about general class issues, internet and D2L issues, resources offered at CCD, accommodation referrals, past courses, and syllabus concerns.

Escalate the question to the appropriate college resource and provide students with a clear path to that resource.

  • Facilitate and ensure resolution and documentation of student complaint process related to course, faculty, instructor, and / or program related issues.
  • Ensure website accuracy of programs and pathway materials.
  • Coordinate with the center for Academic Advising and pathway advisors on all program and course information, and respond to inquiries about pathways, programs, and / or disciplines.

Departmental Support

  • Ensure that internal CCD documents are accurate and current.
  • Train and support faculty and instructors in completing forms and requirements necessary for student needs such as late add, incomplete, grade change.
  • Assist in event planning including pathway activities, college-wide events, and discipline events in collaboration with other event planners (Pathway chairs, CWI, SPARC).
  • Hire and manage pathway work studies and hourly supports.
  • Under the direction of the dean and the chair, create, manage, and communicate the pathway calendar, including observation of courses, EASS and industry meetings and activities, departmental and pathway meetings, and trainings.
  • Coordinate purchasing for the pathway, including grant purchasing; contact vendors when new quotes are required, request invoices, manage PR process, track POs, and maintain / use P-Card.
  • Under direction of the dean, grant manager, CCD Grants Office, and CCD Fiscal Grant team, coordinate grant documentation including time and effort reporting, equipment purchases and tracking, and contracts with vendors.
  • Under the direction of the dean, pull and collate data from sources such as COGNOS, Navigate, the Learning Management System, and Degree Works.
  • Message single cancelled and moved classes to students via the pathway procedure.
  • Assist in program and pathway project management as required by the dean, including deadlines, assignments, and meetings.
  • Create and maintain pathway centralized storage platforms. (Archive of syllabi, observations, JDs, advisory boards meeting minutes)

Academic Support

  • Under the direction of the chair, assist with the onboarding / training of new faculty and instructors that are general to all staff within the pathway.
  • Under the direction of the chair and in coordination with the TLC, assist with review of faculty and instructor D2L usage in alignment with the D2L minimum usage standard.
  • Under the direction of the dean, engage in syllabus archiving and review based on TLC guidelines, report errors to chairs, and store in centralized location.
  • Under the direction of the dean, take notes at CTE advisory meetings when requested and maintain them in a centralized location.
  • Under the direction of the chair, assist with tracking recent student graduates and assist graduates with completing job placement information.
  • Under the direction of the chair, assist in materials collation and storage for program assessment.
  • Coordinate with chairs, faculty, and CWI on maintenance of internship, service learning, or other work-based learning placements.
  • Under direction of chair, assist with coordination of bookstore-related course materials, ensuring the timeliness and accuracy of published required course materials.

Other Duties as Assigned.

Qualifications

MINIMUM QUALIFICATIONS :

Education :

Any of the following combination

  • An associate degree with two years of experience in the competencies listed below and a demonstrated use of the programs, or
  • A certificate with three years of experience in the competencies listed below and a demonstrated use of the programs, or
  • A high school diploma with four years of experience in the competencies listed below and a demonstrated use of the programs.

Experience :

  • Demonstrated ability to use Microsoft Excel including the ability to use formulas, what-if analysis, power queries, pivot table, protect sheet, charting, and VLOOKUP.
  • Demonstrated experience managing a budget including tracking expenses and purchase orders, preparing reports, and validating monthly allocations within the school’s fiscal tracking system.
  • Demonstrated experience with Microsoft Teams to store materials in an accessible manner, set privacy settings, organize documents, and communicate effectively.
  • Demonstrated ability to use Microsoft Word including the ability to ensure that documents are accessible, to lock templates, manage layout, revise based on markups, use headers and footers, tables, and insert images.
  • Demonstrated ability to use Adobe Pro including to ensure that documents are accessible, to combine files, to prepare for signature, to prepare for comments, to organize, and to protect from editing.

Knowledge / Skills / Abilities :

  • Effective time management.
  • Ability to work individually and within a team.
  • Comfort working in an urban campus setting.
  • Willingness to work some evenings and weekends.

Preferred Qualifications :

Experience :

  • Demonstrated ability to use Microsoft Power BI effectively.
  • Fluency in Spanish, Arabic, Vietnamese, and / or Amharic.

Equipment Used : Computers, copy machines

Other Considerations : Ability to travel among our various campuses and high schools is a plus.
