Administrative Assistant / Medical Receptionist (Bilingual Spanish)

This is a hybrid role in the DC area.

This position is responsible for front desk operations, including scheduling patients, administrative, and financial duties and providing excellent customer service to all patients and visitors.

KEY RESPONSIBILITIES

  • Greet patients and visitors, in person or over the phone, in a professional manner
  • Schedule appointments for services provided to optimize patient satisfaction / loyalty, provider time and treatment room utilization
  • Confirm patient appointments and call patients regarding missed appointments
  • Create new patient charts, including any necessary treatment information (diagnosis, x-rays, etc)
  • Accurate and efficient data entry with minimal to no defects
  • Collect / confirm new patient demographics and create task for Patient Intake Department regarding referrals, verification and / or authorizations
  • Collect co-pays and deductibles; discuss patient financials with each patient
  • Maintains patient accounts by accurately recording and updating personal & financial information
  • Maintain excellent organization and complete administrative tasks accurately and efficiently
  • Field and respond to questions, and concerns and address the needs of both internal and external customers
  • Build strong relationships with patients, referral sources, and all other customers with a focus on empathy, compassion, follow through, and anticipating the needs of others
  • Represent Kaizo Health with the highest level of professionalism and exceptionalism

MINIMUM QUALIFICATIONS REQUIRED

  • Minimum of 1-2 yrs working in a medical / healthcare setting
  • Must have an understanding and be familiar with scheduling appointments, insurance plans, explanation of benefits, billing, coding and HIPAA guidelines.
  • Exceptional organizational and multitasking abilities
  • Excellent customer service and communication skills, both verbal and written
  • Cooperative and team-oriented mindset
  • Results-first approach to tasks and responsibilities
  • Strong computer skills, including MS Office, EHR, etc
  • Bilingual in Spanish strongly preferred
