Job description
Office Coordinator Pay Range: $30/hour to $35/hour Position Overview
We are seeking a highly organized and service-oriented Office Coordinator to oversee the day-to-day operations of a busy corporate office. This role is responsible for creating a welcoming workplace experience for employees and visitors, coordinating office logistics, supporting workplace operations, and ensuring the office functions efficiently and professionally. The ideal candidate is proactive, detail-oriented, and thrives in a fast-paced environment while balancing multiple priorities.

Please note: This is a full-time, fully onsite position.
Key Responsibilities
  • Welcome visitors, answer inquiries, and direct guests to the appropriate contacts in a professional and friendly manner.
  • Coordinate incoming and outgoing mail, packages, courier services, and special deliveries.
  • Manage conference room reservations and shared workspace scheduling.
  • Maintain an organized, functional, and welcoming office environment while identifying opportunities to improve office efficiency and workflow.
  • Coordinate with internal IT teams to ensure office technology, including copiers, phone systems, Wi-Fi, audiovisual equipment, and meeting room technology, is operational.
  • Order, organize, and maintain office supplies, break room inventory, and conference room refreshments.
  • Coordinate catering and food service for meetings and office events.
  • Schedule and oversee office maintenance, cleaning services, and vendor support.
  • Maintain accurate office seating charts and workspace assignments.
  • Assist with planning and coordinating meetings, events, and other workplace initiatives.
  • Support additional administrative and operational projects as needed.
Qualifications
  • High school diploma or equivalent required.
  • Bachelor's degree in Business Administration, Human Resources, Organizational Development, or a related field with several years of relevant experience preferred; equivalent combinations of education and experience will also be considered.
  • Previous experience in office administration, workplace operations, facilities coordination, or administrative support.
  • Strong organizational and project management skills with the ability to prioritize multiple tasks and meet deadlines independently.
  • Excellent written, verbal, and interpersonal communication skills.
  • Strong attention to detail and commitment to maintaining an organized work environment.
  • Demonstrated problem-solving, analytical, and decision-making abilities.
  • Ability to adapt quickly in a dynamic, fast-paced environment.
  • Experience coordinating meetings, executive events, or corporate functions is preferred.
  • High level of professionalism, discretion, and ability to maintain confidentiality.
  • Proficiency with Microsoft Office Suite and standard office technology.
  • Self-motivated team player with a customer-service mindset and strong work ethic.
  • Flexibility to occasionally work outside of standard business hours when business needs require.
