Job Description
The Center for Workforce Inclusion is recruiting for a Program Assistant position in the grant-administered Senior Environmental Employment (SEE) Program to work at the Environmental Protection Agency (EPA) based in Washington, DC.
Role and Responsibilities :
Perform technical administrative systems support in the management of a variety of divisional operations and / or program functions.
Duties include :
- Technical Administrative / Program Support the Divisional Infrastructure Functions : Assists in developing, implementing, and managing divisional infrastructure operations process while strategizing coordination between two core divisional centers. Manages processing activities related to travel preparation; a variety of procurement preparation functions; dispatching and coordinating priority mail (FedEx / UPS); Assessing, organizing and managing applicable related agency records; Leads management of divisional meeting rooms, schedules and technical assistance as needed for room equipment resources; Serves as primary point of contact to staff in navigating divisional infrastructure processes advising staff on guidelines and protocol; Attends meetings as required.
- Data Processing : Learns and become expert in multiple agency systems related to travel, procurement, scheduling; Performs data entry and ensures data integrity; scans documents, creates pdfs; initiates mechanisms to evaluate input data and generates reporting as applicable to staff and management.
- Provides High Level of Customer Service : Responds to staff technical support requirements advising and providing guidance in divisional infrastructure processes and policy; Team coordination and back-up support as required.
- Other Special Program Specific Projects and Duties as Assigned (such as but not limited to) : Creating excel spreadsheet files and reports; gathering reviewing and assessing data for program projects as assigned; assisting in management of divisional inventory processes, employee move coordination efforts, staff on-boarding management, etc.
- Other duties as assigned.
Qualifications and Education Requirements : Successful candidates must meet the age criteria of being 55 years of age or older and eligible to work in the United States; able to pass a Federal Background check; AA or certificate; 10 years’ experience in correspondence management or other related field. Candidates should possess demonstrated ability to organize, manage; multi-task, advise staff on all levels; adjust to learn and train others on changing agency IT support systems and ensure compliance with applicable with applicable policy. Self-starters with strong customer relations and demonstrated ability to work independently and well as in a team environment.
