Compensation Range

The base pay scale for this position is $83,000.00 - $126,875.00. In addition, this position will be eligible for additional benefits consistent with the role. The salary of the finalist selected for this role will be determined based on various factors, including but not limited to : scope of role, level of experience, education, accomplishments, internal equity, budget, and subject to Fair Market Value evaluation. The hiring range listed is a good faith determination of potential compensation at the time of this job advertisement and may be modified in the future.

What you will be doing

Job Description : Administrative Research Manager

The Administrative Research Manager, in the Department of Radiology and Imaging at Hospital for Special Surgery, integrates a diverse range of responsibilities, fulfilling the roles of a research manager and patient care coordinator, supporting the MRI Laboratory and Department of Radiology and Imaging research initiatives and is compliant with all regulatory, institutional, and departmental requirements.

Educational requirements : Bachelor's degree required; Master's degree desirable

It is expected that the Administrative Research Manager possess the following skill set :

  • Demonstrate excellent interpersonal skills in coordinating with principal investigators and additional research staff at HSS, collaborating institutions and industry, and in working closely with all HSS staff, including supervisors, directors, technologists, registrars, MR schedulers, radiology fellows, and referring orthopaedic clinicians and their staff.
  • Exhibit excellent organization, communication, and attentiveness to detail.
  • Possess a working knowledge of scientific language and the scientific process in a clinical and basic science setting, as well as the ability to assimilate complex language specific to MSK orthopaedic imaging, biochemistry, MR physics and tissue engineering.
  • Demonstrate initiative, as well as an aptitude for problem solving, anticipating departmental needs.
  • Patience, sensitivity, and professionalism in addressing the questions and concerns of patients and their referring clinicians and helping to coordinate the care for patients both within the MR department and follow up visits.
  • Maintain a calm, professional demeanor in a busy and fast-paced department; frequently multitasking while minimizing error and maintaining the excellence expected at HSS.

The following is an outline of the responsibilities of the Administrative Research Manager :

  • Reconciles department research activity with Department Leadership
  • Reviews clinical research protocols involving Radiology and provides information regarding budget, dosage, and radiology resource contacts
  • Responsible for initiating sponsor contracts, budgets, and contract update reports to legal and research administration
  • Performs functions necessary for satisfaction of research protocols such as screening and scheduling patients, patient enrollment, data collection, coordinating imaging studies for distribution to investigators & / or private companies when requested
  • Supplies Imaging budget codes, fees and CPT codes for all new research studies and helps HSS coordinators with placing correct orders in EPIC related to the research study
  • Coordinates scheduling of research procedures when necessary, with clinical patient flow for Radiology and all research studies from HSS physicians who use radiology services for all imaging modalities
  • Interacts collaboratively with Department and Hospital personnel to facilitate research activities and executes documentation in a timely and effective manner to promote initiation of research projects
  • Adhering to the exacting NIH grant specifications, responsible for full budget in collaboration with PI and coordinates with outside grant offices in multi-institutional grant submissions
  • Verifies accuracy and coordinates with HSS grants office prior to submission. Further responsible for full grant review with PI for text, figures, and reference edits.
  • Attends all MRI Laboratory, Radiology CRP (Clinical Review Panel) and Research Administration Meetings
  • Acts as CRP Administrator (alongside Dr. Miller) to finalize review of IRB protocols for IRB submission
  • Maintains compliance with current Institutional Review Board requirements for participation in research projects
  • Ensures timeliness and accuracy of submissions and no lapses in approvals for the study as well as manages and executes IRB submissions for initial approvals, reapprovals, amendments, etc.
  • Maintains all research correspondence, reports, memoranda, special projects, technical papers, and related material for the department in a HIPAA compliant manner with ease of accessibility to investigators as well as oversight agencies
  • Radiology Regulatory point person for Research Administration
  • Prepares all Regulatory Documents and submits to the IRB (e.g., continuing reviews, exam radiation dose information)
  • Works with the study PI & Co-investigators to assure data quality and regulatory compliance under CRD guidelines
  • Collaborates with research team and research administration, as needed, to ensure that research subjects are treated in accordance with all mandated requirements. Ensures that standards regarding subject registration, protocol specific tests, and required documentation are adhered to.
  • Responsible for all site visits, equipment qualifications and imaging training required by sponsored studies being conducted by all physicians throughout HSS
  • Provides staff training support for EPIC research study identification, radiologic research policies, procedures forms and applications
  • Coordinates training for all new radiology fellows for the eCAP system for research
  • Enrolls and creates orders in EPIC for all Radiology studies; coordinates with lab members to consent all research patients prior to imaging and maintains enrollment and completion status in EPIC
