Summary :
As part of the Office Services team, the Fleet Coordinator works under the Director of Real Estate and Office Services to assist with the procurement, maintenance, regulatory compliance, and liquidation of vehicles, trailers, boats, ATVs, and other fixed assets.
You will work closely with leadership and stakeholders across the organization and with Business Service groups including accounting, legal, HR, and HSE.
Outside the organization, the Fleet Coordinator will serve as a liaison between LJA and contractors.
General Responsibilities :
- Drive company vehicles as required to fulfill responsibilities
- Handle the incident process which including obtaining reports and documentation, coordinating the towing and repair of company vehicles, filing claims with the insurance, arranging for rental vehicles, tracking incidents, and closing out files once everything is complete
- Track and manage DOT compliance for one of our companies which includes DVIR logs, hours of service logs, and driver qualification files
- Develop and maintain outside vendor and service provider relationships
- Conduct regular price comparisons and vendor reviews
- Process new vehicle orders which includes requesting quotes, obtaining manager approval, placing order, ordering auxiliary items (safety kits, toll tags, decals, campers, etc.
tracking delivery, reviewing paperwork, and processing invoices
- Maintain records of and manage inspection and registration process for all vehicles
- Establish, manage, and maintain toll togs for all vehicles
- Collect, review, and maintain information on vehicle spreadsheet using client communications and monthly vehicle reports.
- Manage telematics and ensure all data, geofences, and employee addresses are updated
- Manage and promote safety throughout the fleet by maintaining safety kits in vehicles, providing monthly safety news / topics, tracking incidents, and promoting safe practices
- Coordinate the auctioning and liquidation of fleet assets which includes gathering information, taking pictures, setting minimum prices, drafting paperwork, coordinating with vendors, and overseeing the sale of the assets
- Review MVR reports for drivers and document accordingly
- Forecast replacement needs and fleet financials for the next budget fiscal year & establish or improve procedures involving any and all fleet-related issues and operations
- Administer initial, annual, and remedial fleet training
- Advise management on fleet management strategies and opportunities for improvement
- All other duties as needed
Required Education :
High school diploma required; post-high school education from college, trade school, or military preferred
Required Experience :
- At least two years of fleet operation experience
- Experience with DOT compliance
- Project Management
- Clean driving record, reliable transportation, and willingness to travel to outlying offices (with occasional overnight stays)
- Ability to lift 50 lbs., bend, walk, kneel, push / pull, stand for extended periods, and work on ladders
- Approved driving record, valid Texas driver’s license, and proof insurance on personal vehicle
