Ultimate Staffing is seeking a Business Office Administrator for a Personal Care Product firm that specializes in innovative design and manufacturing of Beauty & Wellness products!

Location : Fully Onsite in Irvine, CA

Job Type : Direct Permanent Hire

Schedule : Full-Time, Mon- Fri

Responsibilities :

  • Oversee and support all administrative duties in the office and ensure that the office is operating smoothly.
  • Ensure office efficiency by maintaining common areas, organizing procedures, handling correspondence, managing file systems, and overseeing supplies and equipment.
  • Oversee day-to-day office activities as main point of contact in reception area, and keep management informed regularly via performance reports.
  • Manage office supplies inventory and place orders as necessary.
  • Perform receptionist duties : greet visitors, and answer and direct phone calls.
  • Oversee and maintain office equipment for uninterrupted function, identify needs and acquire supplies, manage vendor relationships, and coordinate food deliveries when requested.
  • Receive and sort incoming mail and deliveries and manage outgoing mail.
  • Identify opportunities for process and office management improvements.
  • Provide other administrative support as necessary, including scheduling group meetings, maintaining calendars, and doing research.
  • Managed onboarding and orientations for new hires.
  • Processed required documentation forms - I9's, E-Verify, background checks.
  • Organize employee events and activities to enhance workplace culture.

Requirements :

  • Bachelor's degree in business administration, communications, or a related field.
  • 2+ years of work experience in an administrative / office management role.
  • Must have exceptional attention to detail.
  • Strong organizational and time management skills, and ability to prioritize.
  • Must be a self-starter and driven.
  • Excellent communication and interpersonal skills
  • Strong problem-solving skills and analytical abilities
  • Must be proficient with Microsoft Office and Google pro ducts.
