Job description

We are looking for our next Intake & Distribution Coordinator (working title: Office Mailroom and Document Scanning Specialist). This entry-level position is responsible for the smooth and speedy flow of information between Rising and its bill review clients, and to process all incoming and outgoing mail for entire office. In a typical day, an I&D Coordinator spends most of their time sorting bills according to type and scanning them into our electronic system.

In this job, you will:

  • Distribute all incoming office mail not subject to bill review
  • Sort all incoming bills received through E-mail, Fax, UPS, USPS, FTP (File Transfer Protocol) and Fed EX by type of bill (HCFA, UB-92 and Non-standard forms) and according to client and office specific requirements
  • Scan bills and attachments to appropriate group and client (Specialty Bill Review, Rush, General or Special Handling)
  • Scan images and specify type of bill (HCFA, UB-92) continuations or attachments. Save all E-Collated bills into Rising’s bill review software and transfer all bills into correct queues for processing
  • Track weight of physical mail sorted and time spent sorting.
  • Track number of all electronic bills sorted and number of all bills scanned.
  • Print images and EORs when needed
  • Prepare outgoing bills for return to clients according to client-specific instruction (UPS, USPS, Scanning, E-mail, FTP, etc.)
  • Assist with outgoing USPS mail and mailing it out daily
  • Tracking all sent UPS packages, verifying delivery
  • Preparing and scanning all re-evaluations received through various methods into Rising’s data warehouse
  • Assist vendors when they call or E-mail to request information
  • Participate in ongoing training to enhance job skills and knowledge
  • Assist with maintenance of office equipment
  • Participate in team meetings to communicate and learn knowledge and information related to job function, company, and industry
  • Follow HIPAA and regulations
