Position Overview

Oversee office related functions and provide support to all personnel. The selected candidate will be required to work in a team environment with other co-workers and managers.

Key Responsibilities (Essential Duties and Functions)

  • Office Coordinator works under the direction of the Company President and reports to the Texas Region Executive Assistant.
  • Answers incoming company calls, emails, and other communication in a professional manner, determines nature of business and directs to appropriate destination.
  • Greet and assist visitors in a professional manner and open door to visitors or deliveries, when needed.
  • Receive and sign for delivered packages and notify recipients or deliver to recipients, if possible.
  • Assist in administrative / clerical, in nature, type projects as needed.
  • Gather and sort daily mail.
  • Coordinates arranging internal office moves, office maintenance, ordering office supplies, etc.
  • Respond promptly to managers’ queries.
  • Assists team with various projects, including coordinating office set-ups, events, etc.
  • Manages office meeting calendars, distribution lists, and office mapping.
  • Coordinate meetings and all related set-ups for managers, as requested.
  • Ensure operation of office equipment by completing preventive maintenance requirements; following manufacturer's instructions; troubleshooting malfunctions; calling for repairs; maintaining equipment inventories; evaluating new equipment and techniques.
  • Acts as the liaison with the building property management on office suite issues, building events, etc.
  • Acts as the liaison with building cleaning company to ensure proper cleanliness of building.
  • Ensure a safe work environment in compliance with all safety policies and procedures using the appropriate tools and equipment for the task.
  • Perform other duties as assigned.

Qualifications

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.

Education / Experience

  • 5 years of experience supporting a management team, preferably with a large public company.
  • High School diploma or general education degree (GED) preferred
  • Knowledge / Skill Requirements

  • Excellent verbal / written communication skills.
  • Ability to handle confidential information and maintain strict confidentiality.
  • Demonstrate close attention to all details.
  • Demonstrate proficiency with Microsoft Office (Word, Excel, PowerPoint, Outlook).
  • Demonstrated strengths in customer focus, action orientation, problem solving, interpersonal savvy, time management, planning, organizing, dealing with ambiguity, composure, organizational savvy and drive for results.
  • Ability to work independently and in a team environment.
  • Bilingual (English / Spanish) a plus.
  • Physical Requirements

  • May require sitting for extended periods of time.
  • May require periodically lifting of objects up to 30 lbs.
  • Pass pre-employment drug screen and criminal background check.
  • Must be able to provide valid documentation for the I-9 requirement.
  • Display a professional and courteous attitude to co-workers, supervisors and the general public at all times.
  • Report to work at the designated start time. Regular and predictable attendance at assigned times is required. Attendance is vital and key in this role.
  • Strictly adherence to safety requirements and procedures as outlined in the Employee Handbook.
  • Have the willingness to work in a team environment and assist co–workers or supervisors with other duties as required.
  • Must possess a valid driver’s license with a good driving record.
  • Ability and desire to maintain high level of confidentiality.
  • Internal and external customer service oriented is required.
  • Must be at least 18 years of age due to nature of working environment.
  • Work Environment
