Summary:

This Physician Assistant Program Coordinator will provide administrative management for the Physician Assistant program. The Physician Assistant Program Coordinator must ensure that the South University philosophy: quality services to clients; development, growth, involvement, and recognition of employees; sound economic principles; and environment which is conducive to innovation, positive thinking and expansion is considered in carrying out the duties and responsibilities of this position.

Key Job Elements:

  1. Assist program leadership in managing, administering, and coordinating the operations of the department.
  2. Assist the Program Director in managing and forecasting the program's expenses and budgetary needs.
  3. Oversee event coordination for the PA program faculty, staff, and students including maintaining all up-to-date vendor invoices and documents.
  4. Support the functions of the Admissions Committee including the planning, preparation, and set-up for applicant interviews, new student orientation, and graduation.
  5. Support program assessment by coordinating with the departmental data coordinator to ensure timely and accurate processing and reporting of data related to accreditation.
  6. Assist program leadership with coordination and implementation of departmental projects including the ongoing accreditation process and site visits as required.
  7. Assist the Directors of Didactic and Clinical Education in ensuring the completeness and accuracy of student data and documentation for graduation requirements in the student's academic record while ensuring confidentiality.
  8. Assist program leadership in development, review, and publication of marketing materials, flyers, handbooks, and newsletters.
  9. Maintain and assist with SharePoint documents and the program website to ensure compliance with accreditation requirements.
  10. Maintain all confidential program files according to accreditation standards.
  11. Work with the program leadership to ensure timely publication of the quarterly course schedule for the students and the registrar.
  12. Complete student course registration, coordinate data from various systems, and run relevant reports
  13. Inventory and ensure timely ordering of supplies/replacements for all program laboratory equipment and disposables.
  14. Perform routine clerical duties including filing, copying, typing, preparing agendas, and meeting minutes.
  15. Answer telephones and direct inquiries as appropriate.
  16. Greet visitors and direct them to appropriate destination.
  17. Maintain program calendars, assist with travel arrangements as needed, and schedule meetings.
  18. Participate in special projects as assigned.

Job Requirement:

  • Associate's Degree required; Bachelor's or Master's Degree preferred
  • 3-4 years of progressive experience providing administrative support.
  • Experience scheduling conference calls and meetings.
  • Excellent communication skills, both verbal and written.
  • Strong interpersonal skills with student and staff populations.
  • Superior organization, prioritization, and self-motivation skills.
  • Strong computer skills. MS Office Suite.
  • Ability to interact effectively as either a leader or as a member of a team and work collaboratively with other departments.
  • Ability to listen to customers (e.g. staff, etc.) and to understand and respond positively to their requests.
  • Ability to adapt to changing assignments and multiple priorities.
  • Ability to manage multiple tasks and successfully meet deadlines.
