Maintain / Order office, pantry supplies and ensure inventory is well stocked, upkeep office facilities.
Ensure meeting room furniture and equipment are in good order and condition.
Contact and coordinate office property management for cleaning washrooms and general services.
Monitor the functionality of office equipment and arrange for repair and maintenance whenever required.
Assist IT on general system support.
Conduct credit card reconciliation and basic accounting support
Maintain a high standard office reception area with the support of all staff and whenever needed, fill in the receptionist role (i.e. during receptionist's breaks, receptionist's unexpected absence, casual leave, etc.)
Greet and address visitor inquiries in a professional manner.
Manage the visitors sign-in / out procedures and the visitor badge system.
Negotiate and set up short / medium term housing options for local and oversea employees.
Make reservation on air tickets, appropriate transportation tickets, hotel, car rental, etc. and take follow up actions whenever needed.
Manage Car booking, gas cards, parking passes.
Ensure the company car fleets are in good conditions to operate safely and efficiently, arrange general maintenance, ensure validity of vehicle licenses, periodical vehicle cleaning.
Obtain quotes from vendors, analyze for the best deal, Issue purchase order and process utility invoices for payment, perform billing analysis and keep track of record.
Support to Stores and Office administration needs
Connect with vendors, contractors, government departments and colleagues of different departments regarding administration matters and make recommendations for action to be taken if resolution cannot be provided by Administration Department.
Perform general clerical work for Administration Department, create and maintain record keeping systems, schedule appointments.
Generate regular monthly reports
Manage filing system (soft and hard copies).
Act as back up to other Administration Department colleagues.
Perform any other duties / projects as assigned by superior(s).
You Should Have / Be :
A passion in delivering great customer service, able to communicate to all levels of internal and external customers in both English and Chinese (Cantonese or Mandarin), fair in speaking Spanish is an advantage
Possess general IT knowledge plus ability to use MS Word, Excel and PowerPoint.
Able to work independently and collaboratively as part of a team.
Possess positive and "can do" attitude, ability to handle pressure well.
Able to learn and perform new tasks in a dynamic and progressive work environment.
Demonstrate a keen sense of urgency and commitment to follow up and meet multiple deadlines without compromising on work quality.
Have proficient knowledge in retail / office administration with 3+ years of relevant experience.
Previous grocery experience an advantage.
