Job Duties and Responsibilities :
- Develop, implement, and maintain document control procedures and systems.
- Manage the flow of documents, including creation, review, approval, distribution, and archiving.
- Ensure all documents comply with company formatting, versioning, and control standards.
- Maintain electronic and physical filing systems to ensure security, accessibility, and audit readiness.
- Track document statuses and follow up with stakeholders to ensure timely reviews and approvals.
- Assist with internal and external audits by providing requested documentation and reports.
- Train employees on document control processes and software systems.
- Coordinate with project teams, quality assurance, engineering, and other departments to maintain document integrity.
- Support continuous improvement initiatives in document management processes.
- Education : Associate’s or Bachelor’s degree in Business Administration, Information Management, or a related field preferred.
- Experience : 2+ years in a document control or records management role, preferably in [industry : e.g., manufacturing, construction, pharmaceuticals, engineering, oil & gas, etc.].
- Proficiency with document control software (e.g., SharePoint, Aconex, DocuWare, M-Files, or similar systems).
- Strong understanding of document lifecycle, revision control, and compliance requirements.
- Exceptional attention to detail and organizational skills.
- Ability to work independently and manage multiple priorities in a deadline-driven environment.
- Excellent written and verbal communication skills.
- Familiarity with ISO standards or other regulatory frameworks is a plus.
