The Legal Administrative Assistant is responsible for the creation and oversight of the matter management systems and administrative tasks required for those areas covered by the North America General Counsel team.
RESPONSIBILITIES : Provide administrative support as assigned by the North America General Counsel, to include submitting travel arrangements, printing, copying, processing invoices and check requisitions, submitting expense reports and various other projectsCreate, track, and maintain various Smartsheet tools and dashboards for the North America General Counsel teamManage the invoicing process for the North America General Counsel team, including creating new matters, closing current matters, and reviewing status reports with the teamSupport the Service of Process via CSC / CT Corp for contract related items, as well as gather and respond to other requests for information from internal and / or external stakeholders as directed by the North America General Counsel teamMaintain various SharePoint pages (Contract Library, Regulatory Policies and Operational Compliance Page)Create and manage filing systems for the North America General Counsel teamSupport coordinating and issuing responses to company subpoenas and requests for information from various state and federal agenciesProvide support to the North America General Counsel team for various projects and tasksQUALIFICATIONS : Must possess one or more of the following : Associate's degree in Business, Human Relations, Legal studies or related with a minimum of five (5) years of human resources, compliance and / or legal department managementHigh school diploma or equivalent with a minimum of seven (7) years of human resources, compliance and / or legal department managementPossess, or be able to obtain Smartsheet CertificationMinimum of five (5) years of human resources, compliance and / or legal department managementProject management experienceAble to work independently and be self-directedAbility and understanding of areas that require authorization and direction from supervisor, and when / how to provide regular updatesAbility to take initiative, successfully handle and prioritize multiple competing assignments and effectively manage deadlines and meet objectives while being detail orientedHigh level of customer service and ability to effectively interact with all levels within the organization as well as outside with various law firms, vendors, and providersHighly organized, with ability to process a very high volume of tasks, paper, and information in an effective manner, including ensuring that information and its impact on the organization is absorbed and understoodMust be highly proficient in Smartsheet and all Microsoft Office applications, TEAMS, SharePoint, Word, Excel, and PowerPoint;
good comfort level with integrating multiple applications to streamline operations through technology solutionsAble to use technology effectively to create meaningful reports and measurements and presentationsProfessional, articulate, and able to use good independent judgment and discretionOutstanding oral and written communication skillsPREFERRED QUALIFICATIONS : Bachelor's Degree in Business, Human Relations, or related field of studyExperience working in complianceBENEFITS : Medical, dental, vision, basic life, AD&D, and disability insuranceEnrollment in our company's 401(k)plan, subject to eligibility requirementsEight paid holidays annually, five sick days, and four personal daysVacation time offered at an accrual rate of 3.
