George Fox University's Occupational Therapy program is seeking an organized and detail-oriented individual to join our team as our OTD Administrative assistant.
About the Job : In conjugation with the OTD program and the program director, the Operations Manager / Administrative Assistant will help with the overall development, implementation, and evaluation of the program.
These duties include budget oversight, conducting program analysis, and daily operations. Our new team member is responsible for providing administrative support (40 hours per week, Monday-Friday) as it relates to the operations of the Occupational Therapy Program (OTD).
This individual will play an essential role supporting of the day-to-day procedures of an academic department.
Job responsibilities include, but are not limited to :
- Arrange leadership meetings for the School of Allied Health Sciences.
- Arrange Interprofessional Education committee meetings.
- Maintain the OTD department's Google calendar.
- Make travel arrangements for faculty.
- Filing and record keeping of documents.
- Arrange and support department events such as Interprofessional Education events, student conclave, and online case reports.
- Order / maintain supplies and equipment, textbook ordering, check requests, and purchase orders.
- Support guest speaker visits, including reserving parking spots, communicating instructions, and arranging for honorarium payment.
- Be flexible and adaptive in a challenging and changing environment.
- Assist in updating website for Interprofessional Education.
- Assist in developing and coordinating events for the School of Allied Health
- Sciences and Interprofessional Education programs.
- Supports the day-to-day operations of the IPE and School of Allied Health Sciences
- Create documents and update for Wellness Clinics
- Help design and implement marketing strategies for Wellness Clinic
- Provides budget containment and oversight for the School of Allied Health
- Assist in maintaining the Sciences and IPE program budget to include :
o Cost containment
o Purchase order processes
o Coordinated vendor payments
o Ongoing budget balance
- Communicating effectively and courteously with others, including employees, students, and the public, in a spirit of teamwork, respect and customer service.
- By actions, words, and lifestyle, be a Christian role model to students, whether through casual contact or in a formal supervisory role.
- Demonstrating awareness, respect, and appreciation for diversity of culture, background, race, sex, political views, expressions of faith, etc.

- Bachelor's degree
- Administrative professional experience 3+ years
- Strong interpersonal and communication skills
- Proficiency with Google Suite and MS Office software
- Attention to detail in composing, typing, and proofing materials, establishing priorities, and meeting deadlines.
- Exceptional organizational skills
- Enthusiastic about working in a collaborative environment
- Communicates with students, faculty, staff and the public appropriate to the age of the individual served.
