Position Overview
Our professional services client is seeking an experienced Administrative Manager to lead and support a team of administrative professionals in a fast-paced office environment. This role combines people leadership with hands-on administrative work and plays a key part in maintaining high standards of service, quality, and operational efficiency.
Reporting to the Director of Administrative Services, the Administrative Manager partners closely with office leadership to drive consistency, collaboration, and continuous improvement while serving as a trusted resource for internal teams.
Key Responsibilities
Leadership & Team Development
Supervise, mentor, and coach local administrative and editorial staff
Support performance management through ongoing feedback, skill development, and recognition
Foster a collaborative, accountable, and service-focused team culture
Operations & Process Improvement
Partner with leadership to identify and implement process improvements that enhance efficiency
Manage office and document workflows to ensure timely, accurate delivery
Conduct regular check-ins with technical staff to understand needs and improve support services
Administrative & Document Support
Coordinate meetings, events, client seminars, catering, and calendar scheduling
Prepare, proofread, edit, and format business and technical documents in accordance with established standards
Manage professional license tracking, renewals, and continuing education requirements
Coordinate domestic and international travel arrangements
Process and submit expense reports for internal teams
Skills & Competencies
Strong leadership and coaching capabilities with the ability to influence and motivate others
Excellent problem-solving skills with a proactive, solutions-oriented approach
Exceptional written and verbal communication skills
High standards of professionalism, integrity, and confidentiality

Qualifications
10+ years of progressive administrative and people-management experience
Bachelor's degree preferred but not required
Experience in a professional services or technical environment
Strong business and technical document preparation experience
Advanced proficiency with Microsoft Office Suite
