At Catapult, we are assisting our member, Burroughs Wellcome Fund in their search for a Program Assist/ Program Manager. This is a hybrid role in Durham, NC.
About the Role
The Program Associate/ Manager supports key processes and activities for BWF's competitive and ad hoc award programs within Science Education and Diversity. This role manages application and review workflows, oversees grant portfolios, and engages with applicants, grantees, and advisory committee members. The position reports to a Senior Program Officer and contributes to a range of educational, diversity, and strategic initiatives.
Supervisory Responsibilities
- Co‑supervise a Program Coordinator.
- Oversee annual, progress, fiscal, and final grant reporting.
- Delegate tasks and provide training.
Key Responsibilities
Program Associate Responsibilities
- Prepare applications, RFPs, and related materials.
- Collaborate on application processing and eligibility review, address applicant inquiries.
- Serve as primary point of contact for applicants and grantees.
- Maintain accurate grant records in the grants management system.
- Support strategies to strengthen grantee community collaboration.
- Analyze program data and prepare visualizations and reports for internal use and Board updates.
- Manage proposal review workflows and ensure timely reviewer submissions.
- Administer active grants, including communication, payment schedules, deliverables, and modifications.
- Support process improvements in grants administration.
- Conduct research and compile data for routine and ad hoc reports.
- Assist with planning advisory committee meetings; periodic travel may be required.
- Collaborate with internal teams to support awardee services and grant systems.
- Help prepare briefing books and support new program development and staff training.
Program Manager Responsibilities
- Coordinate sponsored events, webinars, and information sessions.
- Assist in addressing special grantee needs.
- Contribute to program ideation and strategy refinement.
- Review progress and final reports and prepare summaries for Program Officer evaluation.
- Provide logistical support across finance, HR, grants management, and event registration systems.
Required Qualifications
- BS or MS degree with at least five years of progressive, post‑baccalaureate experience; education experience preferred.
- Strong accuracy and attention to detail, especially in data entry and reporting.
- Proficiency in Microsoft Office and Adobe, with ability to learn internal systems.
- Strong analytical, organizational, and communication skills.
- Ability to manage multiple projects, work independently, make decisions, and meet deadlines.
- Strong problem‑solving abilities and team collaboration skills.
Preferred Qualifications
- Experience with programming language or data analytics.
- Familiarity with data visualization tools.
- Experience in grantmaking or grants administration.
- Experience with grants management or relational databases.
- Supervisory experience.
