Job Summary : BizFlow is seeking a bilingual (English and Korean) Office Administrator and Executive Assistant to join our growing team located in Falls Church, Virginia.

This individual will be expected to proactively lead on major work items, including those summarized below. Provide support / assistance for the executive.

Perform a variety of clerical activities and related tasks to support the administrative office team. Coordinate programs to ensure maximum utilization of services and equipment within the office.

Manage office facilities and coordinate arrangements for office meetings. Working hours for the position are 8 : 30 am to 5 : 30 pm, Monday through Friday, with a one-hour lunch break.

Essential Duties and Responsibilities : Assist the executive by preparing memos, correspondence, reports, and various tasks as needed.

Manage the scheduling of both internal and external meetings for the executive and handle meeting requests. Perform clerical duties such as photocopying, faxing, filing, typing memos, reports, correspondence, and other documents as requested.

Maintain the reception area to ensure smooth telephone and mail communications, both internally and externally, upholding a professional image.

Organize and upkeep general office spaces including conference rooms, reception area, copiers, and kitchen. Coordinate office maintenance, layout, and housekeeping, as well as manage office equipment.

Handle sorting and distribution of daily mail. Arrange pick-up and delivery of express mail services and package shipments from various carriers.

Manage procurement, receipt, stocking, and distribution of office supplies, furniture, and equipment, adhering to company purchasing policies and budget constraints.

Assist the administrative team in coordinating office events, facility support, and travel arrangements. Supervise the repair and maintenance of office equipment like copiers and fax machines.

Oversee day-to-day facilities operations, including the distribution of building access keys and backup for security access cards.

Contribute to special department projects as required. Welcome guests, visitors, and staff courteously and professionally.

Perform other duties as assigned. Qualifications : Bilingual in English and Korean Applicants must be authorized to work for any employer in the U.

S. We are unable to provide sponsor ship or take over sponsorship of employment Visas. Associate’s degree, Bachelor's degree, or equivalent experience.

Strong knowledge and experience with Microsoft Office programs (Word, Excel, Outlook). Exceptional phone and business etiquette.

Good planning and organizational skills. Excellent verbal, written, and interpersonal skills and must be able to interact and communicate with individuals at all levels of the organization.

Must be familiar with the use of typical office equipment. Working knowledge of mail processes such as postage machines, Federal Express, and UPS.

Some general financial experience (billing / invoicing, spreadsheets, etc.), is preferred. Ability to work in a culturally diverse company.
