Job description

Outage Coordinator

Vinson Process Controls Company, L.P., is a leading distributor of industrial process control equipment, systems, and services in the southwest region of the US including North, East, and West Texas, Oklahoma, Western Arkansas, and New Mexico. This position is for the role of an Outage Coordinator who is responsible for ensuring the highest level of customer satisfaction by scheduling and project managing the execution of repair services performed by Vinson and its subcontractors. This position entails a high degree of customer interaction and is deeply imbedded in Vinson's sales process. This position requires good people skills with a team-first attitude as well as the ability to lead and influence others without having direct authority. Experience in a process industry specific to Power, Refining, Chemical, or Oil & Gas industry is a plus. This position may require 50% travel to client sites with projects requiring multiple overnight stays, weekends, and extended workdays. To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.

Responsibilities:

  • Serve as the primary point of contact for the customer, contractors, and Vinson; essentially "owning" the shutdown, turnaround, or outage (STO). The primary goal is to ensure smooth execution and the highest degree of customer satisfaction.
  • Perform pre-STO walk down, determine scope of work, and collect all necessary information needed to successfully develop a proposal and execute an STO.
  • Schedule pre-STO and walk-downs.
  • Develop a plan and proactively manage the schedule requirements between the customer, various contractors, Emerson, and Vinson.
  • Keep all necessary parties informed of execution plans, expectations, and changes.
  • Ensure all paperwork is completed, submitted, and stored on time and in a quality manner (Quotes, Cost Tracking, Change Orders, Time Sheets, As-Found/As-Left reports, etc.)
  • Develop final outage submittal package with all documentation and present to customer.
  • Schedule Post-STO meeting to deliver final documentation package and begin planning for next STO.
  • Safety is always Vinson's #1 value. Adherence to all safety, quality, company rules and regulations with focus on customer site specific safety standards.
  • Lead and foster a culture that puts safety as the highest priority ensuring the protection of our employees, customer employees, sub-contractors, and all other contractors onsite.
  • Ensure compliance with Vinson and Customer policies.
  • Understand the LOTO process for different customer sites and articulate the nuances to any personnel onsite representing Vinson with a goal of keeping the team safe.
  • Recognize, pursue, and secure opportunities to increase the repair scope of work and new products sold during an STO event.
  • Track and document the actual job costs versus the estimate/quote and work directly with the customer on necessary change orders.
  • Review all invoices for accuracy when outages are completed and negotiate settlements with the customer when there needs to be reconciliation.
  • Verify and approve invoices for release to the customer for scope of work and ascertain that they meet the customers' expectations.
  • Perform other assigned duties as required when not assigned to a specific STO.

Requirements:
