Pay Rate: $28 - $35/hr (based on experience)

Position Summary

We are seeking a highly organized, proactive, and hands-on Office Operations Coordinator to support daily office operations, administrative tasks, and workplace logistics. This role is perfect for someone who enjoys start-up style environments, is comfortable jumping in wherever needed, and has a service-first, can-do attitude. The ideal candidate is detail-oriented, reliable, and professional, with the ability to multi-task and support multiple teams, including administrative, facilities, and employee engagement functions.

Key Responsibilities

Office Operations & Logistics
  • Support office relocation and expansion, coordinating logistics and vendors
  • Organize and maintain workstations, common areas, and office supplies
  • Conduct regular walkthroughs to ensure office organization, cleanliness, and operational readiness
Supplies & Vendor Management
  • Order, track, and restock office supplies, kitchen items, and workplace essentials
  • Manage vendor communications, deliveries, and scheduling
  • Coordinate services for events, catering, and other office needs
Administrative Support
  • Manage incoming mail, package distribution, and conference room setup
  • Prepare workspaces and supply kits for new hire onboarding
  • Assist with expense tracking and basic invoice documentation
Front Desk & Office Presence
  • Serve as the professional point of contact for visitors
  • Provide support for daily office operations and ensure workplace professionalism
Events & Employee Engagement
  • Support planning and execution of team events, office lunches, and employee engagement initiatives
  • Help coordinate company swag and promotional items, ensuring proper inventory and distribution
  • Conduct internal surveys/polls to collect feedback and support engagement initiatives
Cross-Functional Support
  • Partner with teams (marketing, operations, HR) as needed
  • Roll up sleeves to help wherever needed, demonstrating a flexible and collaborative approach
  • Assist with ad hoc projects, including move coordination, office setup, and operational improvements
Qualifications & Requirements
  • 2+ years of experience in office administration, Admin, operations, or coordination
  • Experience to order, track, and restock office supplies, kitchen items, and workplace essentials
  • Professional, presentable, and service-oriented
  • Can do attitude - comfortable helping other team members; jumping in wherever needed
  • Experience or interested in coming up with ideas to better support the office
  • Comfortable being the first point of contract for visitors
  • Experience to order and manage swag
  • Must be positive, energetic, humble, team-first mindset
  • Experience in vendor coordination, facilities management, or office logistics
  • Familiarity with Microsoft Office (Excel, Word, Outlook) and communication tools (Slack, Teams, Zoom)
  • Experience supporting events, employee engagement initiatives, or workplace programs
  • Bonus: Prior experience in a startup or small-office environment
  • Ability to work onsite and manage multiple responsibilities independently
