Job description

Program Coordinator

Hands to the Future works alongside refugee and immigrant students as they pursue postsecondary education, career pathways, and greater opportunity. We provide education and career guidance paired with relationship-based and wrap-around support that helps students prepare, persist, and encounter possibilities.

The Program Coordinator provides consistent, participant-centered coordination and implementation capacity across H2TF's evolving portfolio of programs and funded initiatives.

The Coordinator develops trusted relationships with students; coordinates programs, activities, mentors, interns, volunteers, partners, information, and resources; and helps ensure students experience H2TF's work as connected and responsive rather than as a collection of separate programs.

This is an organizational role rather than a grant-specific position. The Program Coordinator may have primary responsibility for particular programs, grants, or initiatives as organizational priorities and funding change. The position currently has a particular focus on H2TF's Belonging work, including mentoring and relationship-based programming, while also supporting programs and initiatives across the organization.

The Program Coordinator currently reports to the Director of Mobility.

Areas of Responsibility

  • Build and maintain relationships with students, including outreach, onboarding, regular communication, check-ins, follow-up, and connections to appropriate H2TF and community resources, helping students experience continuity as they participate in different programs and opportunities.
  • Coordinate programs and funded initiatives, translating plans and commitments into schedules, activities, communications, participant processes, logistics, materials, and follow-through.
  • Coordinate H2TF's mentoring and other relationship-based programming, including recruiting, screening, onboarding, matching, and supporting mentors and maintaining regular contact with students and mentors.
  • Coordinate interns, volunteers, mentors, and other program contributors, including orientation, scheduling, communication, work assignments, documentation, support, and supervision within the scope of the role.
  • Maintain accurate program and participant information needed for effective service delivery, organizational learning, grant reporting, reimbursement documentation, evaluation, and accountability.
  • Support responsible stewardship of program resources by maintaining appropriate documentation, following established practices, and identifying resource or implementation concerns.
  • Contribute to continuous improvement by identifying recurring barriers, participation patterns, implementation challenges, and opportunities to strengthen H2TF's programs and practices.

Required Qualifications

  • Relevant experience coordinating programs or services serving youth, young adults, students, families, or communities.
  • Demonstrated ability to build trusting, respectful relationships with participants over time.
  • Experience coordinating multiple activities, participants, timelines, relationships, and documentation requirements.
  • Experience working with or coordinating mentors, interns, volunteers, partners, or other program contributors.
  • Ability to maintain accurate program records and use data and documentation systems consistently.
  • Ability to recognize when participant or program situations require escalation, referral, or additional professional expertise.
  • Demonstrated ability to work effectively across differences in culture, language, immigration experience, education, socioeconomic background, and age.
  • Strong organizational, relational, written, and verbal communication skills.
  • Bachelor's degree or an equivalent combination of U.S. or international education, professional experience, community leadership, lived experience, and demonstrated capability.

Preferred Qualifications

  • Experience working with refugee and immigrant students, families, or communities.
  • Experience with mentoring, student persistence, youth/young-adult development, postsecondary access, workforce development, or community-based programs.
  • Experience implementing publicly or philanthropically funded programs and maintaining documentation required for grant reporting.
  • Experience supervising interns or volunteers.
  • Experience with participant-data systems, evaluation processes, or program reporting.
  • Master of Social Work (MSW) or comparable relevant graduate education.
  • Qualification to provide field supervision to social-work interns under applicable university requirements.
  • Knowledge of trauma-informed, strengths-based, culturally responsive, or community-based approaches.
