Responsibilities
  • Coordinates student life programs and initiatives led by the Student Life & Leadership Development unit and MBA student organizations, including New Student Orientation, conferences, leadership programming, and other key student-facing experiences.
  • Partners with student leaders and Program Office staff to support program planning and implementation by developing timelines, coordinating program components, preparing materials, and tracking deliverables. Serves as a liaison with campus partners and the Events team to ensure alignment on space, logistics, and program needs, and provides on-site coordination and support during major events and initiatives.
  • Develops and maintains spreadsheets and tracking systems to manage operational and financial data that support student life and leadership programming. Uses formulas, pivot tables, and similar functions to compile, organize, and analyze information related to expenditures, events, programs, student-facing forms, and project timelines. Processes and tracks recurring financial transactions in accordance with campus policies, including reimbursements, credit card reconciliations, purchase orders, invoicing, and vendor payments. Assists with budget monitoring, account reconciliation, and preparation of summary reports while maintaining accurate financial and program records.
  • Supports financial administration for student life and leadership initiatives within the Student Life & Leadership Development unit. Coordinates the review and processing of funding requests and financial grants for student organizations, ensuring alignment with established guidelines and campus policies. Compiles and tracks budget information, prepares documentation for contracts and funding allocations, and assists in administering multiple funding sources. Prepares supporting budget materials and financial reports by organizing documentation, monitoring allocations, and supporting compliance with university financial procedures and timelines.
  • Administers and maintains office software systems and digital tools that support student programming and Program Office operations, including shared file storage, calendars, spreadsheets, and standard operating procedures. Develops and maintains organized trackers and documentation to support program coordination, team workflows, and operational continuity. Proactively manages and updates the FTMBA Program Office calendar and related tracking systems to reflect program changes, deadlines, and new content, and provides guidance to staff on the effective use of office software tools and administrative systems.
  • Coordinates procurement and inventory management for office equipment, supplies, and shared resources that support student life programming and Program Office operations. Maintains organized inventories and storage areas, monitors supply levels, and ensures materials remain accessible and adequately stocked to support daily operations. Processes supply orders and coordinates purchasing requests in accordance with campus procurement procedures, tracking orders and maintaining related documentation. Supports facilities coordination for student life spaces, including the MBA Lounge and locker room access, by managing access requests, monitoring space usage, and coordinating maintenance, service requests, and repairs with campus partners. Ensures shared spaces remain organized, functional, and aligned with established usage guidelines and maintenance protocols.
  • Prepares, edits, and proofreads reports, presentations, correspondence, and administrative materials to support program planning, coordination, and communication related to student life and leadership programming. Compiles and organizes information from multiple sources to develop materials that support internal coordination, leadership updates, and student-facing communications, ensuring accuracy, clarity, and consistency across program documents.
  • Provides guidance to Administrative Assistants and student staff on office procedures, operational practices, and the implementation of departmental and campus policies.
    Coordinates recruitment, onboarding, scheduling, and day-to-day task assignments for Work Study students supporting student life and leadership programming. Provides training on office systems and procedures, supports workflow coordination during peak programming periods, and monitors coverage to ensure continuity of student-facing services and office operations.
  • Applies established operational, branding, and administrative protocols when supporting student-facing programs, communications, and materials. Exercises discretion when handling sensitive information and program priorities, ensuring alignment with departmental guidelines and campus standards. Identifies questions or exceptions and escalates issues to appropriate staff as needed.
  • Coordinates updates to student-facing web content related to student life and leadership programming, ensuring information remains accurate, current, and aligned with program timelines, messaging, and departmental guidelines. Works with Program Office staff to review and update content, applying established web and branding standards to support clear and consistent communication with students.

Required Qualifications
  • Thorough knowledge in administrative procedures and processes including word processing, spreadsheet and database applications.

  • Requires interpersonal and work leadership skills to provide guidance to other nonexempt personnel.
  • Knowledge of financial and administrative processes related to reimbursements, purchasing, credit card reconciliation, and vendor payments in a higher education or similar environment.
  • Skill in using spreadsheets and tracking tools to monitor budgets, expenditures, program timelines, events, and administrative workflows.
  • Ability to coordinate operational logistics for student-facing programs involving multiple stakeholders, timelines, and systems.
  • Ability to maintain accurate records, documentation, and shared files in accordance with established procedures and compliance requirements.
  • Knowledge of student life, leadership development, or student engagement programming in higher education.
  • Excellent interpersonal skills, demonstrating a desire to establish and maintain positive & professional working relationships with colleagues, students and team members.

Under California law, the University of California, Berkeley is required to provide a reasonable estimate of the compensation range for this role and should not offer a salary outside of the range posted in this job announcement. This range takes into account the wide range of factors that are considered in making compensation decisions including but not limited to experience, skills, knowledge, abilities, education, licensure and certifications, analysis of internal equity, and other business and organizational needs. It is not typical for an individual to be offered a salary at or near the top of the range for a position. Salary offers are determined based on final candidate qualifications and experience.

The budgeted salary or hourly range that the University reasonably expects to pay for this position is (Step 1) $30.58 - (Step 9) $36.71
  • This is a Part-Time (30 hours/week) career position that is eligible for UC Benefits.
  • This is a non-exempt, biweekly-paid position.


Other Information
  • This is not a visa opportunity. This position does not include sponsorship of a new consular H-1B visa petition that would require payment of the $100,000 supplemental fee.
  • This position is governed by the terms and conditions in the agreement for the Clerical & Allied Services Unit (CX) between the University of California and Teamsters Local 2010.
