SCHOOL/UNIT DESCRIPTION:
The Ginzton Laboratory houses the research operations of 20 Principal Investigators, 25 staff scientists, 200+ graduate students, 35 post docs, 35 support staff and numerous visitors. The Ginzton Laboratory is an interdisciplinary research lab that explores the most exciting and productive areas at the overlap between engineering and the sciences. The combination of science and engineering gives new concepts, understanding, and rigor from science, the stimulus of challenging and important problems from engineering, and the depth of engineering technology to enable advanced scientific experiments. Strong opportunities come from the overlap of three scientific and engineering fields - quantum science and engineering, photonic science and engineering, and nanoscience and engineering. These are embedded in an environment that encourages and explores applications from other fields, such as sensing, communications, information processing, biology and medicine, energy, and the environment.

Stanford’s Quantum Fundamentals, ARchitectures and Machines program (Q-FARM) is an interdisciplinary initiative woven throughout the university. Q-FARM harnesses the expertise and facilities of Stanford University and SLAC to accelerate the development of quantum information science for national competitiveness and to address today's most difficult research challenges.

POSITION SUMMARY:
The Q-Farm Program Coordinator will provide coordination of administrative and operations-related tasks with substantial impact for Q-FARM. The Q-Farm Program coordinator independently prioritizes duties across multiple concurrent programs including weekly seminars, 2–5 day workshops, annual events, and high-profile external visits. The Program coordinator will provide administrative support for the entire Q-Farm program, including budgeting, interfacing with various relevant communities, managing postdoc and student fellowships, organizing Q-FARM meetings, retreats and multiple regular events as well as coordinating program reports, and communication.

CORE DUTIES:

  • Act on behalf of the supervisor, department manager, or chair in regards to establishing priorities and identifying and resolving problems that are administrative in nature.
  • Oversee and/or perform duties associated with scheduling, organizing, and operating complex conferences, seminars, and events, including arranging with vendors for services, overseeing the production and distribution of materials, administering logistics, and managing event within budget.
  • Compose and draft documents and correspondence for presentations, course handouts, grants, conferences, seminars, and reports; perform substantial editing and fact checking. Create, maintain, modify, and/or ensure accuracy of content in various unit documents, displays, reports, brochures, social media, and/or websites.
  • Plan and schedule calendar(s) with limited consultation, resolve calendaring conflicts, and arrange travel in compliance with unit, university, and sponsor policies.
  • Create complex reports and spreadsheets which may utilize specialized software and systems.
  • Oversee and/or process a variety of complex financial transactions; produce, monitor, and reconcile budget statements; research, identify, and resolve discrepancies. May assist with capital or special equipment requests and/or vendor selection.
  • Coordinate and monitor routine maintenance services completion. Plan and coordinate office moves and/or minor renovation projects.
  • May lead staff or supervise day-to-day work of student and/or temporary workers, including scheduling, assigning, and prioritizing workloads, setting appropriate deadlines, reviewing work for quality and timeliness, and providing performance review input

MINIMUM REQUIREMENTS:
Education & Experience:
High school diploma and four years of administrative experience, or combination of education and relevant experience.

PHYSICAL REQUIREMENTS*:

  • Constantly perform desk-based computer tasks.

Onsite/Hybrid:
The expected pay range for this position is $39.20 to $43.26 per hour. This is a 1 year fixed term position.
